Confidential Secretary To The School Business Administrator/Board Secretary
Qualifications:
1. High School Diploma
2. Minimum experience as determined by the board
3. Broad knowledge of secretarial practices and procedures.
4. Excellent technology skills with experience in Microsoft Office.
5. Ability to operate commonly used office equipment.
6. Ability to keep confidentiality
7. Ability to work under pressure and to be versatile.
8. Demonstrate organizational, communication and interpersonal skills. High level of interpersonal skills required to interact with employees, leaders, vendors and others.
9. Required criminal history check and proof of U.S. citizenship or resident alien status 10. Current residency in New Jersey, approved residency waiver or candidate agrees to obtain residency within one year of employment
Purpose of the Position:
To perform secretarial and clerical duties entailing a high degree of responsibility, discretion and confidentiality, using independent judgment, in addition to routine work necessary for the smooth and efficient operation of the office.

Position Responsibilities:
Assist in preparing the necessary motions for the Board meeting agenda, resolutions, etc., and aids in handling correspondence of the board. Prepares all necessary correspondence pertaining to approved and required certified resolutions as well as type, duplicate, and distribute minutes of the Board of Education. Maintains the office minute book for the Board of Education. Prepare and distribute meeting notices, press releases, and legal notices as required.
Assists in preparing for the annual school election, and assists in maintaining the board members training schedule to ensure compliance. Assist the School Business Administrator to maintain proper audit documents, as well as proper insurance policies and claims. Assist with compiling all required documents to adhere to purchasing and procurement regulations and laws. Coordinates with departments and maintains record management and proper disposition of archives.
Performs usual business office routines, plus assembles confidential material according to instructions, prepares summaries of confidential documents, and maintains confidential files. Compose and type letters and correspondence at the direction of the School Business Administrator Scheduling the use of school buildings and grounds by authorized groups in accordance with board policies. Maintain rental billing and receipts. Assist in the efficient operation of the district's food service program;
ensure that procedures are in accordance with law and regulations. Assists in maintaining required documents and grant opportunities with the district's food service management company. Maintain contract files, including tuition contracts, transportation contracts, capital projects and insurance. Assists the School Business Administrator in preparing reports required by law, administrative code and board policy. Performs other functions related to the operation of the Business Office as assigned by the School Business Administrator/Board Secretary.
Terms of Employment:
Salary and work year to be determined by the Board of Education. Evaluation:
Performance of this job will be evaluated annually in accordance with the State law and provisions of the board's policy on evaluation of non-certificated staff.
