Position OverviewThe Front Desk Coordinator is the first point of contact for NOVA patients and prospective patients.
This role controls inbound communication, protects provider schedules, and ensures every interaction reflects the high standards of our brand. This is not an entry-level receptionist role. It is an access-management position in a structured, high-performance environment.
The ideal candidate is polished, organized, confident on the phone, and comfortable managing multiple priorities in a fast-paced clinical setting.
Key Responsibilities Inbound Communication- Answer inbound calls promptly and professionally
- Lead conversations with structure and clarity
- Gather key information efficiently
- Schedule appointments appropriately
- Perform warm transfers to Patient and Surgical Coordinators when needed
- Manage consultations and follow-up appointments
- Confirm, reschedule, and optimize schedules
- Protect high-value consult slots
- Support same-day schedule efficiency
- Greet patients warmly and professionally
- Maintain a polished reception area
- Support check-in and check-out processes
- Coordinate with clinical and administrative teams
- Accurately document call outcomes
- Maintain EMR and scheduling accuracy
- Ensure HIPAA compliance
- Minimum 2 years experience in medical front desk, hospitality, concierge healthcare, or high-touch service environments
- Strong phone presence and communication skills
- Professional appearance and demeanor
- Detail-oriented and organized
- Comfortable working in a structured, high-accountability environment
Preferred:
- Experience in plastic surgery, dermatology, aesthetics, or elective medical care
- Familiarity with EMRs, CRMs or scheduling platforms
- Full-time position
- Weekend availability required
- Flexibility to work across NOVA locations
- Fast-paced, premium clinical setting
This role offers competitive hourly pay aligned with Northern Virginia market standards and the responsibility level of the position.
Compensation includes:
- $21–$25 per hour
, based on experience and prior performance - Quarterly team-based performance incentives.
