Coordinator, Third Party Billing

Position Summary:

This role administers all curriculum sponsor ships from employers, non‑profits, government entities, and 529 college savings plans. Responsibilities include intake of student information, maintenance of a filing system, facilitation of bookstore purchases, management of sponsor billing and collections, distribution of VA benefit funds, handling of emergency grants and loans, and performing monthly and year‑end accounting functions.

Responsibilities
  • Collect, review, and process sponsorship documents; ensure records comply with state regulations and college policies.
  • Maintain a comprehensive, term‑based digital sponsorship filing system integrated with the college ERP system.
  • Issue sponsored student vouchers, generate vendor invoices and credit memos, and monitor third‑party collection compliance.
  • Administer accounts receivable functions for sponsor ships, including billing, receipting, follow‑up, and communication with sponsors.
  • Design, maintain, and update the A‑B Tech third‑party sponsorship webpage.
  • Navigate and bill through various third‑party portals (VA, Ameri Corps, state college savings programs).
  • Provide support and training to continuing education staff on best practices.
  • Process student tuition and continuing education refunds, and coordinate refund payments with third‑party partners.
  • Coordinate with the VA liaison for benefit disbursements and reimbursements.
  • Administer emergency grants and loans, issue vouchers or checks, and reconcile grant accounts.
  • Perform monthly accounts receivable and cash receipting maintenance; analyze accounts and assist in ledger balancing.
  • Assist in inter‑fund receivables and liabilities transfer and monthly settlement with Accounts Payable.
  • Reconcile financial aid bookstore purchases with the ERP system and point of sale system.
  • Track and reconcile invoicing of non‑student accounts and grants across A‑B Tech.
  • Process bookstore, central supply, college vehicle, and duplication charges; produce journal entries and department charge summaries.
  • File monthly Sales and Use Tax return with the North Carolina Department of Revenue.
  • Provide backup to Accounts Payable, vouchering, check cutting, travel requests, cashiering, and daily deposits.
  • Contribute to the College Vision, Mission, Values, and RISE statement; support workforce diversity.
  • Perform other duties as assigned.
Qualifications
  • Associate’s degree in Business Administration, Accounting, or a related field.
  • One year of full‑time cash handling, billing, or related experience.
  • One year of full‑time office and customer service experience in a business setting.
Preferred Qualifications
  • Bachelor’s degree in Business Administration, Accounting, or a related field.
  • Experience in a community college or university setting.
  • Two years of full‑time accounts receivable or accounting experience.
  • Knowledge of general accounting procedures.
  • Proficiency in a foreign language (e.g., Spanish, an East Slavic language, or American Sign Language).
Benefits Summary

Salary: $50,328 – $51,336 annually. Benefits represent approximately 30% of total compensation, including a 24.67% employer contribution to a defined pension plan and contributions toward medical, dental, and life insurance coverage.
