Position Summary:The Project Coordinator provides administrative, documentation, coordination, and project-control support for construction projects from preconstruction through closeout. This position works closely with project managers, superintendents, subcontractors, vendors, accounting personnel, and clients to ensure project information is accurate, current, properly distributed, and maintained.
Responsibilities:- Maintain project files, contracts, subcontracts, purchase orders, drawings, specifications, and correspondence.
- Initiate digging permits and “call in inspections” with different municipalities or state
- Prepare, issue, track, and maintain subcontract agreements and purchase orders.
- Maintain logs for RFIs, submittals, change orders, contracts, and other project documents.
- Assist project managers with preparation and processing of change orders and subcontractor change requests. Help with estimating and bidding, solicit material pricing from suppliers and vendors.
- Coordinate submittal distribution, review status, approvals, and resubmissions.
- Assist with preparation of pay applications.
- Track committed costs, approved changes, pending changes, and project billing documentation.
- Coordinate project meetings, prepare agendas, record meeting minutes, and distribute action items.
- Maintain current project contact lists and distribution lists.
- Assist with procurement tracking and follow up on critical material and equipment deliveries.
- Coordinate administrative communication between the office and field personnel.
- Maintain drawing and specification revisions and ensure current documents are distributed appropriately.
- Assist with project startup documentation, notices, and required owner documentation.
- Support subcontractor onboarding and project-specific administrative requirements.
- Maintain daily/weekly project reporting information as required by the Project Manager.
- Assist with project closeout, including punch-list documentation, warranties, O&M manuals, as-built drawings, lien waivers, final releases, and turnover packages.
- Maintain organized electronic project records in accordance with company procedures.
- Assist project managers and company leadership with project reports, spreadsheets, correspondence, and presentations.
- Participate in meetings and job cost report reviews
- Establish relationships with all teammates, foremen and superintendents
- Have a positive teamwork attitude toward internal customers associated with our projects including estimators, PM’s, APM’s, Field operations and administrators.
- Perform other project-related administrative duties as required.
- 3-5 years of construction administration or project coordination experience is preferred, ideally with a commercial or industrial general contractor.
Field Experience would be preferred, but not a requirement. - Understanding construction terminology, drawings, specifications, subcontracts, RFIs, submittals, change orders, pay applications, and project closeout.
- Strong proficiency with Microsoft Excel, Word, Outlook, and construction project-management or document-control software is important. Experience with platforms such as Procore, Bluebeam, or similar systems is preferred.
