The Maintenance Buyer is responsible for sourcing, purchasing, and expediting materials, equipment, and services required to support maintenance operations. This role ensures timely availability of MRO parts, manages vendor relationships, and supports cost control and reliability initiatives across the maintenance organization.
Essential Position Functions- Review maintenance demand and generate purchase orders for materials and services needed to meet maintenance schedules.
- Source and expedite critical repair parts; identify and recommend suitable substitutes when items are unavailable.
- Process purchase orders and reconciliations within the ERP and/or CMMS systems.
- Set up and maintain vendor records in accordance with company procedures.
- Follow up on purchase orders to ensure timely delivery and communicate any delays, variances, or issues to appropriate stakeholders.
- Coordinate with Shipping and Receiving on packing slips, proof of delivery, and discrepancies.
- Support Accounts Payable by resolving invoice discrepancies.
- Work closely with the Engineering Department on purchasing components for projects and capital improvements.
- Coordinate vendor visits with maintenance management and supervisors.
- Request and support cycle counts of MRO inventory items.
- Properly disposition obsolete or excess items (sale, auction, recycle, or disposal).
- Prepare reports and track key performance indicators (KPIs) in support of AOP and maintenance objectives.
- Assist Accounts Payable on any invoice discrepancies.
- High school diploma or equivalent required.
- Maintenance or industrial purchasing experience preferred.
- Experience with CMMS, ERP systems, and/or MRO programs preferred.
Skills and Abilities
- Working knowledge of maintenance purchasing, MRO, and storeroom best practices.
- Strong organizational, analytical, problem-solving, and negotiation skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Effective written and verbal communication skills; ability to work with internal and external customers.
- Basic math and financial skills for order tracking and invoice reconciliation.
- Bilingual English/Spanish is a plus.
- Work environment includes refrigerated food manufacturing plant, warehouse, and office settings.
- Temperatures may range from approximately 25°F to 110°F.
- Occasional lifting, bending, kneeling, and handling of items exceeding 50 lbs.
- Overtime, evenings, and/or weekend work may be required based on department needs.
