Administrative Support - Facilities Management and Planning
This position will provide administrative support for Facilities Management and Planning (FMP) operations.
Responsibilities- Answers phones and assists departmental customers.
- Greets and assists office visitors and patrons.
- Communicates and coordinates FMP activities and issues with other University constituencies.
- Compiles and manages the University facilities event calendar.
- Reconciles, manages, and processes departmental payroll and accruals using KRONOS timekeeping system.
- Assists with managing departmental hiring processes and student employment.
- Assists with the tracking and management of personnel training.
- Serves as departmental resource for Human Resources policies, procedures, and communications.
- Assists in daily monitoring and tracking of incoming and active work orders.
- Assists with daily communication and dispatch of departmental personnel.
- Other duties as assigned.
- High School diploma or equivalent is required.
- Previous administrative support and/or customer service experience required.
- Must possess and display friendly and professional customer service skills.
- Handle confidential material and comply with privacy concerns and regulations.
- Demonstrate a high degree of proficiency with office procedures, equipment, and computer applications.
- Excellent verbal and written communication skills with attention to detail.
- Solid time management, planning, and organization skills.
- Applicant must be currently authorized to work in the United States. Ashland University will not sponsor or take over sponsorship for an employment visa.
- Associate or Bachelor’s degree is preferred.
- Microsoft Office Suite training preferred.
- Previous Human Resources and/or payroll (KRONOS or other timekeeping software) experience is strongly preferred.
- Applicants must have the ability to work in a fast-paced office environment with frequent interruptions and changing priorities.
- The position will require prolonged sitting, regular walking, bending, twisting, standing, and reaching. There may be occasional lifting of storage files and paper boxes.
- Applicants must be able to hear and understand speech in face-to-face and telephone conversations.
- Must have the manual dexterity and ability to operate office equipment and extensive work on a computer keyboard.
