The Registrar System and Degree Requirements Coordinator reports to the University Registrar and is responsible for managing academic records and supporting the Registrar’s Office through Workday Student and other academic processes.
Responsibilities- 70% Duties
- Serve as primary institutional contact, functional expert, and trainer for curriculum and degree requirements.
- Build, configure, test, and maintain degree requirements, academic policies, and program structures within Workday Student.
- Update curriculum requirements based on approved catalog and curriculum changes.
- Ensure accuracy and integrity of degree audits and academic progress rules.
- Collaborate with academic departments and campus partners to implement curriculum updates and resolve issues.
- Assist with testing and validation of system changes, updates, and enhancements related to academic requirements.
- Serve as functional support resource for Workday Student processes within the Registrar’s Office.
- Troubleshoot system issues and coordinate resolutions with campus stakeholders and technical teams.
- Develop and maintain documentation, procedures, and training materials related to Workday Student functions.
- Provide user support and training to faculty, staff, and students on Registrar‑related Workday processes.
- Participate in system testing, upgrades, and continuous process improvement initiatives.
- Assist students, faculty, and advisors with the interpretation of registration policies.
- Verify and maintain student information procedures.
- 20% Duties
- Perform general administrative tasks to support Registrar’s Office operations.
- Maintain confidential student records in compliance with institutional policy and FERPA regulations.
- Support office communication, scheduling, and workflow coordination.
- Ensure systems associated with academic records are well‑maintained, accurate, supported, and accessible.
- Create and maintain appropriate forms, documentation, user guides, and training manuals associated with academic records.
- 10% Duties
- Other duties as assigned.
- Basic foundation of knowledge and skills of technology and information systems, typically obtained through an AA degree in computer science, information systems, educational technology, communications, or related fields, or equivalent coursework.
- At least one year of related work experience (one postsecondary year may substitute up to one year of experience).
- Preferred:
Two years of experience as a program or support specialist, including administrative support for a project, program, or operation. - Experience with Workday Student or another student information system.
- Ability to learn new systems, analyze, and troubleshoot existing systems.
- Experience working in a postsecondary educational setting.
- Experience with lead work responsibility or coordination of office procedures.
- Knowledge of databases and proficiency with Microsoft Office suite.
- Excellent communication skills, both verbal and written.
- High level of diplomacy and professionalism in customer service.
- Ability to interpret and apply complex policies and procedures.
- Strong analytical and research skills.
- Proactive assessment of work operations and problem resolution strategies.
- Judgment, discretion, tact, and diplomacy in handling sensitive information.
- Initiative in independently planning, organizing, and performing work assignments.
- Detail‑oriented, with excellent organizational and time‑management skills.
- Technical analysis of software functionality and troubleshooting.
- Excellent computer skills and proficiency with word processing, spreadsheets, databases, and online systems.
- Teamwork and communication in diverse populations.
- Knowledge of information technology systems and campus‑wide systems.
- Basic understanding of data and file structures, database systems, and operating systems.
- Software development and programming support for instructional applications.
- System, database, and network maintenance tasks.
- Normal office activities: sitting/standing at a desk, using a computer, answering phones, and communicating in person, both in writing and via phone.
- Must be able to move/transport up to 25 lbs.
- Willingness to travel and attend off‑site training programs for professional development.
- Ability to work additional hours and adjust working hours to meet special jobs.
- May be called back periodically for emergency work.
- Must successfully pass a pre‑employment background check.
