JOB SUMMARY
To act as office manager in assigned school and perform a wide variety of independent and/or supervisory office work for the efficient operation of the school to the benefit of students, staff and patrons.
ESSENTIAL DUTIES AND RESPONSIBILITIES

1.Serves as the confidential secretary to the principal and as the primary and sole receptionist, greeting and assisting all visitors in a professional, courteous, and welcoming manner.
2.Monitors school entry and follows visitor check-in, identification, and sign out procedures to support campus safety.
3.Answers and routes incoming phone calls; responds to general inquiries from families, staff, and the public.
4.Maintain confidentiality of sensitive student, staff, and family information
5.Manages interruptions while maintaining confidentiality and professionalism.
6.Communicates effectively with students, parents/guardians, staff, and administrators.
7.Performs a variety of secretarial, administrative support, and specialized clerical duties requiring knowledge of district and building policies and procedures.
8.Serves as the primary contact person and liaison between the principal and students, teachers, parents, district personnel, staff, and the general public.
9.Prepares correspondence, agendas, bulletins and reports; takes, types and distributes minutes of meetings as directed.
10.Keeps time records of employees and substitutes for payroll purposes on a monthly basis, submitting to district office.
11.Assists the principal in the ordering, receiving, purchasing of supplies and materials and preparation and monitoring of the budget for the assigned areas.
12.Order, inventory, and manage office supplies and front office systems.
13.Operates standard office equipment and school information systems.
14.Manages office workflows, schedules, calendars, and correspondence.
15.Coordinates with district offices, transportation, food services, and other support departments.
16.Supervises and participates in the registration of students and in the transferring of student files.
17.Maintains accurate student records in accordance with district, state, and federal requirements (e.g., enrollment, cumulative files).
18.Supports daily student attendance processes, including absences, tardies, early dismissals, and student check outs.
19.Supervises and/or keeps records of student attendance and makes regular reports to the district and the state. Verifies student absences as required.
20.Assists students with health , behavior , or situation related needs until appropriate staff are available.
21.Administers first aid and maintains a current first aid card. Maintains supplies for first aid, emergency response kits, and the health room.
22.Responsible for administering medications and keeping reports on medications.
23.Supports emergency procedures and respond calmly to urgent or high stress situations.
24.Coordinates and records the use of school facilities, parent/teacher groups, and other outside organizations.
25.Coordinates/supervises the opening and closing of the school year responsibilities; i.e. registration, teacher/student rosters, student awards/programs, graduation, etc.
26.Assists in developing written materials; preparing office procedures manual and preliminary drafts of students and teacher handbooks; oversees publication of materials.
27.Supervises and participates in the receipt of fees, fines, and funds in relation to such activities as registration, and such programs as student health/athletic insurance and student/school accounts; banking of money received.
28.Arranges for all substitute teachers and other substitute personnel when requested.
29.Responsible for issuing, collecting, requisitioning, and tracking all keys from all staff including coaches, off-campus and anyone else using the school facilities.
30.Performs other duties and assumes other responsibilities as assigned by supervisor.
31.Attends workshops/training as required.
32.Follows and maintains knowledge of all applicable District policies and procedures.
33.Annually pass the District's required online training by the District's assigned due-date.
34.Attends work regularly and is punctual.
SUPERVISORY BESPONSIBILITIES
All school employees have some responsibility for supervising students and assisting in maintaining a safe environment.
