Job Title

Manages the daily administrative needs of the Department of Curriculum and Instruction.

General Responsibilities

Coordinates and oversees division-wide textbook acquisition and maintenance. Provides considerable technical accounting and other tasks to support the fiscal management of local funds including advanced studies and textbook budgets. Performs professional and administrative tasks requiring thorough knowledge of departmental operations and functions. Responsible for planning and organizing the administrative and clerical functions of the department including assigned division-coordinated programs, projects, and professional learning offerings.

Duties

Supports the work of the Director and Department of Curriculum and Instruction;
Collaborates with other departments in Central Office;
Acts independently on administrative matters within established policies and procedures;
Collects and analyzes data for preparation and approval of the department budget;
Is responsible for department's purchasing, accounts payable, records management, and textbook budget management;
Adheres to established procedures pertaining to documentation and compliance for fiscal management of department accounts;
Maintains expenditures and budget spreadsheets for each content area specialist;
Prepares and maintains record keeping for inventory and supply requisition;
Generates and processes all purchases, shipping, and deliveries in compliance with county procedures;
Reconciles monthly department payroll reports;
Assist staff with annual division programs such as Ed Expo, Festival of Arts & Sciences, and Reading Olympics;
Coordinates facility use of the Center for Professional Learning;
Serves as the Division Textbook Coordinator:
Coordinates textbook adoptions with curriculum specialists and textbook representatives, including ordering, tracking, inventorying, and disposing of materials out of adoption;
Hires and oversees the daily work and compensation of summer textbook delivery and maintenance crew;
Supports school textbook coordinators in obtaining needed materials, organizing summer textbook delivery and repair efforts, and engaging in annual textbook audits;
Serves as a communication liaison with schools;
Develops department informational materials and reports; proofreads a variety of materials after content approval;
Maintains the Curriculum and Instruction and textbook sections of the HCPS website;
Secures transportation and pays drivers for division-supported trips (ex. Ag Day, MWEE, etc.);
Maintains travel records and reimbursements for staff who travel to more than one location in a school day;
Contracts and payments with vendors for a variety of school services (ex. piano tuning, microscope repair, kiln repair, etc.);
Performs other duties as assigned.

Knowledge,

Skills and Abilities

Advanced knowledge of principles and practices of accounting and mathematical calculations. Ability to develop, prepare and manage budgets, and spreadsheets. Knowledge and skill in working with accounts payable, accounts receivable, purchasing, shipping and deliveries, and preparing and processing journal entries and budget transfers. Ability to prioritize work schedules, exercise independent judgment in performance of duties, recognize potential problems and recommend appropriate solutions.

Exceptional interpersonal skills to maintain positive working relationships. Considerable knowledge of the operations, practices and techniques of school division. Ability to work under pressure and make decisions in accordance with laws, ordinances, regulations, and established procedures. Effective written and oral communication and public relations skills. Excellent general office management.

Education and Experience:

Required:

High school diploma. Junior college or business school training in secretarial skills, computer operation, bookkeeping and finance. Three years of secretarial experience and comprehensive experience in using word processor. Preferred:
