Purchasing Coordinate (On-Site)

QRFS is growing fast.

We are adding thousands of products to our catalog, serving customers who expect fast, accurate fulfillment, and operating with the discipline of a lean business that cannot afford execution breakdowns.

Purchasing sits at the center of all of it.

When purchasing execution is done well, inventory arrives on time, orders ship as promised, customer trust stays high, and operations run smoothly. When execution breaks down, everything downstream feels it immediately.

That’s why we are hiring a Purchasing Coordinator — a role designed for someone who wants to own the day‑to‑day execution engine that keeps product flowing into the business.

This is a
execution role for someone who takes pride in follow-through, precision, and making sure things actually get done.

The Execution You’ll Own

Our purchasing environment is high-volume and interruption-heavy. Purchase orders must be sent accurately and on time. Vendors must be followed up with. Shipments must be tracked. Problems must be fixed.

Your job is to ensure that purchasing execution runs smoothly every day.

That means:

  • Purchase orders are created and sent based on approved instructions
  • Vendors confirm orders and ship on time
  • Delays and issues are identified early and actively resolved
  • Internal teams know what’s coming in and when

You will not be asked to design purchasing strategy or forecasting logic. You will be trusted to execute a proven system
, work issues until resolution, and keep product moving.

What You’ll Do Purchasing execution (core)
  • Prepare and send inventory and drop‑ship purchase orders based on approved inputs
  • Ensure quantities, pricing, and details are accurate in every PO
  • Track open purchase orders through shipment and receipt
  • Follow up persistently with vendors to confirm ship dates and resolve delays
  • Collect SKU‑level pricing and lead‑time data required to complete customer quotes
Issue resolution and coordination
  • Identify shortages, late shipments, and discrepancies
  • Work directly with vendors and carriers to resolve issues
  • Communicate arrival times, delays, and changes clearly to warehouse and support teams
  • Confirm lead time and pricing information for customer quotes
  • Own problems until they are fully resolved or properly escalated
System accuracy and documentation
  • Maintain accurate PO statuses and records in systems
  • Document issues, outcomes, and resolutions
  • Support invoice and receiving reconciliation as needed
Operations team support
  • Assist customer support and warehouse in peak demand (and they are expected to help you)
  • Raise a red flag when purchasing instructions conflict with real‑world constraints (e.g., lead times, availability, budget limits).
Important Boundaries

To protect focus and execution quality:

  • You will not decide what to buy or how much to buy
  • You will not build forecasts or inventory models
  • You will not negotiate pricing, contracts, or vendor terms
  • You will not approve spend beyond defined limits
