JOB DESCRIPTION

JOB TITLE: #447 - Special Programs Assistant 1.0 FTE

REPORTS TO: Director of Special Programs

EVALUATED BY: Director of Special Programs

JOB SUMMARY: Under the supervision of the Superintendent and Director of Special Programs, the secretary will perform the following specific job duties. The secretary will support grants, curriculum and professional development while also maintaining, processing and monitoring special education and other instructional program files.

QUALIFICATIONS OF THE POSITION:
  • High School Diploma or equivalent as required by OAR , Oregon Department of Education
  • Must be 18 years of age
  • Must be able to pass a background check
  • Proficient secretarial duties as needed for the Director of Special programs
  • Working knowledge of basic office procedures and operation of common office equipment and machines
  • Ability to relate with the public, in person or on the telephone.
  • Common knowledge of secretarial office procedures.
  • Excellent computer skills and experience with Microsoft Office preferred.
  • Perform physical requirements which may include:
A. Moderate degree of physical stamina

B. Frequent standing, walking, bending, and occasional lifting up to 50 lbs.

C. Ability to use a telephone, computer, and other office equipment

E. Ability to make frequent trips to and from desks, counters, etc. as well

as other areas in the school building

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Performs secretarial duties as needed for the Director of Special Programs
  • Maintains free and reduced lunch program
  • Maintains confidential student records
  • Prepares federal and state reports as needed. Responds to survey reports.
  • Manages and maintains requisitions, purchase orders, invoices for all related programs
  • Assists in collecting of information for Title audits.
  • Performs duties related to secretary work in the area of curriculum as directed by the Director of Special Programs
  • Assists the public, in person or on the telephone. Takes messages as needed and performs other duties pertaining to the reception area.
  • Provides technical support and training to staff on the special education database.
  • Regularly attends trainings necessary to job performance.
  • Performs any other assignments as determined by the District administrators.
  • Acts as a mandated abuse reporter.
  • Knowledge of Astoria School District Policies and building procedures
  • Regular and acceptable attendance is required
  • Other related duties as assigned
