Facilities Utilization Planner and Events Setup Coordinator
Job Duties:
The Facilities Utilization Planner and Events Setup Coordinator is responsible for coordinating the use of campus facilities for university events. The coordinator develops plans to maximize facility usage and provides data on administrative facility usage, along with recommendations for space utilization changes. The coordinator directs detailed work associated with events, such as preparation, setup, and breakdown of event equipment, and other services that require university personnel and/or equipment.
Additional responsibilities include assisting the Director of Facilities Operations in other duties as assigned.
- Work with events team/requestors to identify needed resources such as tables, chairs, sound equipment, electrical, custodial, trash, landscaping, and manpower support requirements.
- Coordinate and assist with organizing, setting up, breaking down, and returning proper storage event equipment (i.e., tents, tables, chairs, signs, banners, audio‑visual equipment, etc.).
- Manage the Facilities Reservation Calendar, eSpace, and Workorder requests to ensure there aren’t any conflicts in scheduling.
- Utilize organizational skills to troubleshoot and solve problems while operating on a schedule, managing multiple events and projects simultaneously, meeting deadlines, and achieving goals.
- Develop plans to maximize facility use and make space‑allocation recommendations to the administration.
- Conduct facility usage studies and compile usage data for management to review.
- Collaborate with the maintenance team on the coordination of events and equipment.
- Ensure that proper staffing is available, approval is obtained if it is deemed that overtime is required, and schedule appropriate overtime staffing.
- Manage the maintenance program for all facilities vehicles and transportation equipment.
- Coordinate all moves of furniture and equipment.
- Help with the construction of fencing, concrete walkways, the erection of canopies, stages, and platforms.
- Perform tasks involving ladders to pull wires and cabling, install ports, assist with cleaning gutters and removing debris from roofs.
- Complete other duties as assigned.
- High School diploma or its equivalent.
- Minimum of 3 years of related experience.
- Excellent communication and interpersonal skills, including writing and speaking.
- Ability to manage multiple projects concurrently.
- Must be team‑oriented and able to work collaboratively to achieve team goals.
- Detail‑oriented.
- Experience with Microsoft Office programs.
- Experience driving and using a forklift.
- Experience assembling stages including platforms, steps, and safety rails (e.g., connecting and locking panels, leveling stage).
- Valid driver’s license.
- Must be able to lift and carry up to 100 pounds.
- Must have full range of mobility in the upper and lower body; able to reach overhead; able to work in various positions, including stooping, standing, bending over, sitting, kneeling, and squatting for extended periods of time; able to lift, pull, and push materials and equipment.
- In addition to the normal work week, ability to work weekends and nights as needed.
- Occasionally ascends and/or descends a ladder.
- Frequently performs tasks that require repetitive motions of the wrists, hands, and/or fingers, such as typing or operating power tools.
- Frequently tasked with operating a motor vehicle or heavy equipment.
- Occasionally exposed to low and high temperatures as well as outdoor elements such as precipitation and wind.
- Occasionally exposed to noisy environments.
Salary Band: P565. Salary will be commensurate with experience and qualifications.
