Job Title

District 21st Century Community Learning Center (CCLC) Program Data and Fiscal Manager

Supervised By/Reports To

21st CCLC Program Director

Job Goals

To assist the district 21st CCLC program director by performing efficient and effective office management, correspondence, problem solving, organizational, clerical tasks and 21st CCLC program EZ Reports, fiscal management, and state-required data collections.

Qualifications

1. High school diploma required.

2. A.S. and/or B.S. degree in Accounting, Business or Education field is preferred.

3. Two (2) or more years of experience in a school bookkeeping or administrative position is recommended.

4. Must have a valid Alabama driver's license with no serious violations.

5. Must have a reliable vehicle for transportation.

6. Knowledge of general office procedures related to organization, filing, preparation of documents, computer software programs including spreadsheets, word processing, databases, presentation software, etc.

7. Demonstrated proficiency in oral and written communication skills.

8. Ability to work independently, prioritize tasks, and perform assignments as directed with accuracy, attention to detail, and within established time frames.

9. Comprehensive knowledge of school system policies and procedures.

10. Ability to use technology to communicate, to manage data, and to produce/submit required reports, correspondence, and/or financial information.

11. Physical strength, mobility, dexterity, stamina, and acuity to perform job responsibilities.

12. Ability to be punctual and in regular attendance.

13. Must meet background clearance requirements as specified by the State of Alabama regulations.

14. Such alternatives to the above qualifications as the Board may require.

15. Ability to relate to and work with students and adults in a positive manner.

16. Demonstrate effective oral and written communication skills.

17. Ability to follow written and verbal instructions.

18. Ability to plan and organize.

19. Ability to work cooperatively with colleagues, government officials, and the public.

Performance Responsibilities and Essential Functions

1. Demonstrates support for the 21st CCLC and its vision, goals, and priorities.

2. Manages correspondence, calendars, reports, budgets, travel arrangements, reimbursements, and agendas for the administrator assigned.

3. Prepares purchases orders, contracts, and requisitions for department supplies and/or services as directed.

4. Maintains accurate electronic and non-electronic filing systems of needed reports, minutes, correspondence, information, confidential records, records, schedules, and data as directed.

5. Obtains, gathers, organizes, and prepares for presentation pertinent data and information as needed.

6. Communicates effectively and manages office communication processes as directed using telephones, voice mail, electronic mail, postal and/or delivery services, intra-campus delivery, and other means as directed.

7. Attends and participates in meetings as directed.

8. Maintains appropriate confidentiality regarding school/workplace matters.

9. Maintains and submits reports, records, and correspondence in a timely and accurate manner.

10. Properly uses and cares for equipment and material resources of the school system and effectively supervises and monitors others in the care, maintenance, and use of tools, equipment, and inventory.

11. Adheres to school system rules, administrative procedures, local Board policies, and state, federal, and local regulations.

12. Performs any other job-related duties as assigned by supervisor(s).

Physical Demands

While performing the duties of this job, the employee is regularly required to sit, stand, walk and use hands to finger, to handle, or feel objects, equipment, or controls. The employee frequently is required to talk and hear. The employee is occasionally required to reach with hands and arms, climb stairs, bend, stoop, squat, and crouch and kneel. The employee must occasionally lift, push, pull carry and/or move up to 50 pounds.

Specific vision abilities required by this job include near vision, distance vision, peripheral vision, depth perception and the ability to adjust focus.
