Position Summary

The Summer Conference Assistant is a student position that supports the daily operations of summer housing facilities, including group check‑ins and check‑outs, preparation of guest materials, and pre‑ and post‑arrival room inspections. Assistants participate in an on‑call rotation to support conference and orientation guests by responding to lockouts, facilities concerns, and other needs.

Responsibilities
  • Act as comprehensive support for participants, guests, and group sponsors throughout summer conferences.
  • Serve in an on‑call duty rotation to manage issues related to maintenance/facilities concerns, check‑ins/outs, building keys, access cards, and inventory management of linens and other summer conference resources.
  • Conduct thorough room and building inspections before the arrival of each group and after their departure, ensuring detailed assessments and accurately reporting any issues identified.
  • Collaborate in the preparation of check‑in materials for assigned conference and orientation groups, including the assembly of key packets and access cards.
  • Configure common spaces and lobbies to facilitate seamless check‑ins, check‑outs, and additional reservations.
  • Facilitate prompt and efficient check‑ins and check‑outs for conference services, ensuring a seamless experience for all attendees.
  • Demonstrate proficiency in Star Rez, the housing software system, and various Microsoft Office applications including Teams, One Note, and Excel after training.
  • Facilitate communication of any issues related to participant stays by working with various stakeholders, such as community RBSWs, Maintenance, and Housing Assignments, and Residential Programs and Services.
  • Work community desk shifts within conference residence halls to support weekly departmental operations.
  • Effectively multitask and prioritize responsibilities to meet deadlines, work collaboratively in a team environment, and follow instructions with minimal supervision.
Conditions of Employment
  • Dates of employment:
    May 11 – August 2.
  • Dates of in‑person training and building preparation:
    May 11 – May 23.
  • Respond to all on‑call requests for conference services between 5:00 pm and 9:00 am when on call, and 24 hours on weekends and holidays.
  • Work up to a 40‑hour week if not taking summer classes, with varied schedules including mornings, afternoons, evenings, overnights, and weekends; or up to a 20‑hour week if enrolled in classes, with similar scheduling arrangements.
  • May not hold dual employment within the university during summer terms; student employees may not have another student position when employed with University Housing.
  • Live on campus (single room provided) and serve in the conference services on‑call rotation, between 5 p.m. and 9 a.m. Monday – Friday and 24‑hours a day on weekends and holidays.
Qualifications
  • Enrolled on at least a half‑time basis at the University of Georgia for the upcoming fall semester (minimum of six credit hours for undergraduate and professional students, or five credit hours for graduate students).
  • Be in good standing with the Office of Student Conduct.
  • Consistently support, communicate, enforce, and abide by all University of Georgia and University Housing policies, procedures, and regulations.
  • May not exceed 6 consecutive hours of work per shift.
Physical Demands

Driving as needed to perform job duties.

Background Investigation

Offers of employment are contingent upon completion of a background investigation, including a criminal background check, confirmation of credentials and employment history, and, if applicable, a satisfactory credit check. A pre‑employment drug test may also be required for positions with high‑risk responsibilities.
