- Strong written and verbal communication skills
The Department of Food Science and Technology is a multi-disciplinary department supporting research, teaching, and Extension programs on the Athens and Griffin campuses. This position serves as the assistant to the Department Head (DH) and is responsible for supporting day-to-day administration of the department. This role is critical to provide consistent support to the Head of the Department as well as to other faculty, staff, and students.
Responsibilities- Handle all departmental correspondence to upper administration, food industry, and alumni.
- Manage the main office: course loading, override processing, curriculum/CAPA, course evaluations, and personnel record keeping.
- Provide support for faculty correspondence, event scheduling, and communication with internal and external stakeholders.
- Assist with faculty appointments, graduate faculty appointments and re-appointments, promotion/tenure processes, 3rd year reviews, post-tenure reviews, and scheduling faculty interviews.
- Submit position requests, posting requests, and hiring proposals for staff and graduate positions; assist onboarding.
- Serve as Postdoctoral Research Liaison; coordinate with the FST Business Manager for compensation.
- Assign departmental keys, oversee mailbox assignments, and coordinate facilities and copying services.
- Ensure documentation is complete and compliant in UGAJobs and related HR systems.
- Resolve routine HR or operational discrepancies and elevate non-routine issues.
- Coordinate logistics for new hires and retirements, including UGAJobs processes, office cleanouts, and faculty releases.
- Track committee and mentoring committee assignments.
- Support Promotion & Tenure and Post-tenure Review processes, including dossier uploads and timeline tracking.
- Lead Visa/H-1B and Permanent Residency processes, preparing required materials and tracking deadlines.
- Schedule faculty meetings, reviews, and event planning across campuses.
- Assist Department Head with HATCH project assignments and reporting.
- Support annual faculty contract processes and electronic contract development.
- Act as departmental liaison to the college and university when necessary.
- Takes and distributes meeting notes; facilitates responses to department email and non-electronic mail.
- Disseminate timely information regarding policies, deadlines, and university-wide issues to faculty, staff, and students.
- Maintain confidentiality of personnel and departmental records.
- Detailed knowledge of UGA operations, policies, and procedures.
- Effective communication with faculty, staff, and students.
- Administrative management practices and principles.
- Budgetary policies and procedures.
- Ability to process information using university procedures.
Work primarily at a computer for long periods. Lift up to 20 pounds.
