Position
Administrative Specialist I – Office of the President
Location:
Athens, Georgia
Hours:
Monday–Friday, 8:00 am–5:00 pm
- Administrative and Reception Support (40%) – Provides administrative support for the Assistants to the President, including office support, calendar management, travel coordination, and reimbursement processing. Manages front‑line telephone and guest reception service, and supervises the Office of the President’s student workers.
- Project Management and Documentation (30%) – Manages action files for annual and one‑time projects, coordinates assigned components, and oversees workflow of incoming documents (mail, meeting materials, drafts, etc.), expediting as necessary.
- Correspondence and Archiving (20%) – Drafts, prepares, proof‑reads, and distributes correspondence; maintains document files; logs incoming routing slips; backs up the Administrative Associate III, Document Manager with incoming mail.
- Other Administrative Support (10%) – Receives calls, greets visitors, assists Assistants to the President, participates in office meetings and staff development, and performs additional duties as assigned.
- Bachelor’s degree or equivalent.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Access), Adobe Acrobat, GAIL, and the President’s Office Database.
- Strong written and oral communication skills.
- Excellent organizational skills and ability to manage multiple projects simultaneously without close supervision.
- Discretion with confidential information.
File and copy; work at a desk for long periods; transport and set up food, displays, and materials for events; perform occasional lifting of file boxes.
