Office Administrator/ Coordinator
Position Summary
The Accounting Assistant will perform a variety of financial support, administrative, and customer service functions. The position is responsible for accurate data entry, office administrative support, and the processing of travel reimbursements, while providing professional service to internal staff and external stakeholders. The Accounting Assistant will work under direct supervision of the Institute of Continuing Judicial Education Executive Director and will coordinate with the Business Operations Associate.
Minimum Qualifications- Associate's degree or equivalent.
- Working knowledge of University System of Georgia (USG), UGA, and/or Administrative Office of the Courts (AOC) travel and procurement policies.
- One (1) or more years' experience in accounting, bookkeeping, accounts payable, or general financial support roles.
- Experience with UGA financial systems.
- Accurately enter training registration payment transactions, office invoices, and related data into accounting software systems.
- Assist with the collection and processing of registration fees for training programs and events.
- Run registration payment reconciliation reports for the ICJE event teams.
- Verify and reconcile data entries to ensure accuracy and completeness.
- Scan, index, and archive financial documents in accordance with records retention policies.
- Assist the Business Operations Associate with month‑end and fiscal year‑end data entry and filing requirements.
- Review and process travel reimbursement requests submitted by constituents, instructors, and ICJE event team members. Process all related financial transactions within 30 days of the event/training.
- Verify that travel expenses comply with USG, UGA, and AOC travel policies and applicable regulations.
- Coordinate with submitters to obtain required documentation or resolve discrepancies.
- Track the status of submitted travel reimbursements and communicate updates in a timely manner.
- Assist team members with a variety of clerical and support tasks as directed.
- Support special projects, including attendance at ICJE trainings, audits, or initiatives as assigned by the Executive Director.
- Proficiency in Word and Excel.
- Attention to detail and excellent communication skills.
- Skill in organizing financial data.
- Strong organizational skills with the ability to manage multiple tasks and meet deadlines.
- Knowledge of accounting and budgeting.
- Excellent written and verbal communication skills.
- Ability to work effectively as part of a team and to assist colleagues in a collaborative environment.
- Process and handle confidential information with discretion.
- The ability to sit for an extended period of time.
- The ability to lift up to 10 pounds on an intermittent basis.
- The ability to travel to various ICJE meeting locations.
