We are seeking an Administrative Specialist I to support the Dean of Students, Student Life office at the Newton campus. The position focuses on financial management, student conduct, general office management, and support for campus events and student organizations. The role requires multitasking and excellent problem‑solving in a fast‑moving environment.
ResponsibilitiesMaintain department budgets and related items by preparing purchase requisitions, budget transfers, and other expenditures; secure supporting documents such as travel forms, receipts, and agendas; use the state purchasing card and processing reports; perform data entry of detailed budget transactions; reconcile logged expenditures against Georgia State University budget reports.
Provide organizational and clerical assistance, including greeting visitors, answering telephones, making room reservations, submitting facility work orders, maintaining service contracts on office equipment, managing office supply inventory, and placing supply requests.
Serve as initial customer‑service agent, ensuring high‑quality service, gathering and investigating relevant facts and complaints, compliments, and challenges, and handling complaints within the scope of the position.
Maintain and enter student conduct records in the Maxient system, ensuring accurate documentation of all records.
Assist with campus events and functions related to Student Life, support the Director and office personnel with special projects, and serve and participate on campus and college‑wide committees.
Support program development and implementation by reserving rooms, developing advertisements for events, programs, and meetings, purchasing supplies and materials, requesting facility work orders, maintaining service contracts on office equipment, monitoring office supply inventory, placing supply requests, and enforcing the information‑board posting policy.
Work closely with registered student organizations (RSOs) and their advisors to ensure proper processing of financial paperwork and efficient program implementation.
Maintain and enter RSO records in the Panther Involvement Network system (PIN) to ensure up‑to‑date supporting documentation of all SAF funding expenditures.
Minimum Hiring
Qualifications:
- Bachelor’s degree and one year of related experience, or a combination of education and experience.
