The Faculty Affairs Executive Assistant provides high-level administrative and operational support to the Associate Provost for Faculty Affairs and serves as a primary front-facing representative of the office. This position is responsible for supporting executive-level functions and managing sensitive, time-critical activities with a high degree of professionalism, discretion, and responsiveness.
The role serves a central coordinating function within the office, providing flexible support across a range of administrative, operational, and project-based needs. The position absorbs intermittent but critical tasks to ensure continuity of operations and enable team members to focus on specialized responsibilities. The incumbent exercises sound judgment in prioritizing work, triaging requests, and ensuring timely and accurate follow-up.
This position regularly serves as a first point of contact for internal and external stakeholders and is responsible for maintaining a high standard of professionalism in all interactions with university leadership, faculty, staff, and external partners. The role supports responsiveness across the office by monitoring requests, facilitating communication, and ensuring efficient service delivery.
The position requires the ability to manage competing priorities, anticipate needs, handle confidential matters, and shift effectively between routine administrative functions and high-priority, time-sensitive responsibilities. The incumbent contributes to the overall efficiency, effectiveness, and professionalism of the Office of Faculty Affairs.
Primary areas of responsibility include executive calendar management, office operations, procurement, personnel support, records and data management, and coordination of activities across the Office of Faculty Affairs. The position works collaboratively with team members to support office operations and faculty-related processes across the faculty lifecycle.
Knowledge, Skills, Abilities and/or Competencies
Ability to plan, organize, and prioritize multiple tasks in a fast-paced environment.
Excellent written and verbal communication skills.
Professional and effective communicator with individuals at all organizational levels.
Experience with administrative systems and workflow tools, or ability to quickly learn.
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and familiarity with tools such as Adobe and Canva.
Ability to manage priorities, solve problems, and collaborate effectively.
Works independently with sound judgment and appropriate judgment in seeking guidance.
Maintains strict confidentiality and discretion.
Builds effective working relationships with faculty, staff, administrators, and external stakeholders.
Serves as a professional, front-facing representative with strong judgment and responsiveness.
Adapts quickly between routine tasks and urgent, time-sensitive priorities to support team effectiveness.
Maintains consistent office presence as a key point of contact.
Learns and adapts to new systems and technologies.
Physical Demands
Sitting for extended periods; frequent use of a computer; occasional standing and bending. Walking short distances on the UGA campus to pick up and deliver time-sensitive items. Lifting/carrying boxes of approximately 15-20 pounds
