Position Summary
This full-time, in-office opportunity is ideal for a detail oriented, proactive, and career driven individual to support a top performing investment sales team as a transaction coordinator in our Houston office. Responsibilities include accurate and timely processing of transaction documentation, maintaining organized records, and coordinating with related parties to ensure smooth and efficient deal flow.
Responsibilities- Manage commercial real estate transactions from start to finish, ensuring accuracy, compliance and timely execution.
- Draft and prepare transaction documents, including listing agreements, letters of intent, and purchase and sale agreements.
- Coordinate with internal teams, clients, and third parties to track deliverables, communicate requirements, and ensure adherence to key deadlines.
- Oversee pre-listing activities, including requesting and organizing due diligence materials, abstracting leases and preparing listing agreements and required legal documents.
- Manage listing setup across platforms (MNet, Crexi, CoStar, and team websites), ensuring accuracy and completeness of information.
- Facilitate escrow processes from opening through closing, including timeline management, third party coordination (title, surveys, inspections etc.) and contract compliance.
- Coordinate closing activities, including commission submissions, insurance updates, tenant notifications and internal file completion.
- Maintain organized and complete transaction files from listing through close in accordance with compliance requirements.
- Partner with Analyst and Marketing Coordinator to support agent needs and execute related tasks.
- Research and track market comparables, including abstracting data and confirming listing statuses with brokers.
- Identify opportunities to leverage AI and technology tools to improve workflow efficiency, organization and data accuracy.
- Perform additional duties as needed to support the team.
- Bachelor's degree required.
- Two (2) years of experience in administrative support, transaction coordination or revenue operations.
- Proficient in Microsoft Office Suite, especially Excel.
- Strong proficiency in leveraging AI tools with a thoughtful, results driven approach to improve processes, automate tasks and enhance overall workflow efficiency.
- Strong attention to detail and organizational skills.
- Effective written and verbal communication skills.
- Ability to manage multiple tasks under tight deadlines.
- Ability to maintain confidentiality and handle sensitive information.
- Familiarity with real estate closing documents is a plus.
Base hourly rate: $31.25-$36.06 per hour. Eligible for a discretionary performance based bonus. Actual pay will be determined by factors such as education, experience and job related skills.
