Position Summary
This position will manage the day‑to‑day operations of the FTMBA / MSBA Career Management Center (CMC). It reports 50% to the Director of the FTMBA / MSBA Career Management Center and 50% to the Associate Director of Corporate Relations. The role maintains internal functions of the center while engaging external stakeholders to support career development initiatives.
Responsibilities Administrative & Clerical Support- Review and track a high volume of student expenses and reimbursement documents, managing all communications and paperwork in processing of student travel reimbursements.
- Work closely with Terry's Business Office to provide supporting documentation for financial transactions through the College financial system and track budget spending.
- Communicate with staff and faculty across campus to reserve space for events and meetings, request and route vendor contracts.
- Monitor office supplies and order materials as needed.
- Maintain office space, including storage, kitchen, and interview suites, and keep it safe and organized.
- Manage, execute, evaluate, and improve complex logistics of CMC-sponsored events and schedule venues or campus resources.
- Market program-sponsored events to students, including calendar invitations and tracking student responses and attendance.
- Arrange catering, handle invoicing and payment processing, manage logistics of student transportation, technology platforms for virtual events, and other inter‑University resources.
- Serve as primary point person for Terry Business Office and communicate with the Business Learning Community management team by submitting work orders for upgrades, maintenance, and repairs.
- Support recruiting operations by reserving, calendaring resources such as classrooms, interview suites, conference rooms, team rooms, and other campus resources.
- Ensure student career advising appointments proceed smoothly.
- Manage vendor contracts and relationships for career tools.
- Maintain and update student resume books, listings, and the virtual CMC hub.
- Coordinate the production of print materials for students and staff, including nametags, business cards, and event collateral.
- Manage departmental phone and email account, complete requests or escalates issues to appropriate personnel.
- Communicate with building services group for office‑related needs.
- Recruit, hire, train and establish work schedules for student workers.
- Assign tasks and monitor performance to manage overall office workflow and ensure a professional work environment and efficient day‑to‑day operations.
- Miscellaneous duties as assigned.
- Strong interpersonal, communication and customer relationship skills.
- Deep attention to detail and concern for accuracy.
- Sound organization, and multi‑tasking skills.
- Demonstrated ability to work well on a team and independently.
- Friendly, professional demeanor in person and through telephone and email etiquette.
- Proficiency in Microsoft Word, competence in Excel and Outlook.
Working in a normal office environment.
Minimum QualificationsHigh school diploma or equivalent.
