Position Summary
The Program Coordinator serves as a central point of coordination for the multiple and high-visibility Office of the Vice President for Public Service and Outreach's (OVPPSO) programs and strategic initiatives, including the New Faculty Tour, professional academies, staff professional development programs, PSO Annual Meeting, PSO awards and recognition efforts, faculty appointment and promotion processes, and special working groups. The position partners closely with senior OVPPSO leadership, faculty, and staff across Public Service and Outreach (PSO) units to plan, develop, and implement high-impact programs.
Responsibilities include coordinating program logistics, developing training and educational materials, and managing and monitoring program budgets. This position serves as a key liaison between OVPPSO leadership and campus stakeholders, facilitating cross-functional collaboration and ensuring programs are strategically aligned with institutional priorities. The role actively contributes to program planning, implementation, and continuous improvement to support effective and high-impact outcomes. The Program Coordinator operates in a dynamic, fast-paced environment, managing multiple initiatives simultaneously while maintaining a high level of organization and attention to detail.
Limited travel is required to support program delivery. This position also provides direct administrative and strategic support to the Associate Vice President for Public Service and Outreach.
Bachelor's degree in a related field or equivalent and 5 years of professional experience.
Preferred Qualifications- A track record of progressive experience in higher education, public service, or complex program administration.
- A track record supporting large-scale or high-visibility programs, events, or training initiatives.
- A track record budgeting, reporting, and program evaluation.
- Familiarity with UGA / PSO systems and processes.
- Demonstrated ability to manage multiple complex programs simultaneously with strong attention to detail and deadlines.
- Demonstrated ability to apply best practices across multiple program areas.
- Strong analytical and problem-solving skills, with the ability to assess operational challenges and implement effective solutions.
- Proven ability to communicate clearly and professionally, both verbally and in writing.
- Ability to both work independently and as part of larger teams.
- Ability to build and maintain effective working relationships with various stakeholders.
- Advanced organizational, time management, and prioritization skills in a fast-paced environment.
- Strong written and verbal communication skills.
- Exceptional attention to detail while managing multiple tasks and responsibilities.
- Proficient in Microsoft 365 applications.
- Experience using emerging tools (e.g., AI applications) to enhance productivity and program delivery.
- Knowledge of PSO units and UGA and PSO reporting, registration, and financial systems.
- Sit for extended periods of time.
- Lift and/or move up to 20 pounds.
- Occasional travel to support program delivery.
Program Management and Coordination
- Manage and coordinate multiple complex PSO programs and initiatives from planning through execution and evaluation, ensuring all deliverables and operational requirements are met.
- Develop and implement program timelines, workflows, and tracking systems to support effective implementation, reporting, and continuous improvement of programs.
- Oversee all program logistics, including scheduling, registration, nominations, meeting coordination, materials preparation, and support event execution (in-person and virtual).
- Draft and manage program communications and prepare meeting and program materials.
- Manage and monitor program budgets and support financial and administrative processes, including procurement, travel, and reimbursements, ensuring compliance with university policies and effective use of resources.
- Develop and manage surveys, spreadsheets, and reporting tools to support data collection, analysis, and program evaluation.
- Build and maintain collaborative relationships across PSO units, academic colleges, and external partners to support program success and identify opportunities for collaboration.
- Provide high-level administrative support to the Associate Vice President, including managing communications, scheduling, travel, and correspondence.
- Prepare briefing materials, reports, presentations, and meeting documentation.
- Support the development and execution of strategic initiatives, special projects, and working groups led by OVPPSO leadership.
- Assist in coordinating division-wide efforts such as annual meetings, recognition programs, and faculty processes.
