Position Summary

The Evaluation and Grade Data Management Coordinator provides operational leadership for the management, integrity, and flow of evaluation, assessment, and grade data across all four years of the MD curriculum at UGA School of Medicine. This position is responsible for administering evaluation and assessment processes through technology platforms, maintaining evaluation form library, coordinating data collection, managing grade workflows, ensuring accuracy, transparency, and compliance with institutional policies.

The Coordinator serves as primary administrator for evaluation and assessment activities within One
45 and other tools, ensuring timely distribution, tracking, and reporting of evaluations. The position also manages centralized grade data for courses, clerkships, and electives, maintaining working grade books, and posting finalized grades in official systems. The role requires independent judgment for resolving data discrepancies, determining workflows, and ensuring compliance with academic policies. The role supports the AU/UGA partnership during campus transition, serving as lead for 3rd and 4th year student grade collection and reporting, and evaluation distribution.

The Coordinator reports to the Director of Medical Education and is accountable to the Associate Dean for Curriculum.

Minimum Qualifications
  • Bachelor’s degree in a related field or equivalent and 2 years of professional experience
Preferred Qualifications
  • Bachelor’s degree in education, data management, analytics, health sciences, administration, or a related field; or an equivalent combination of education and relevant experience
  • Three (3) or more years of experience managing academic data, evaluation processes, or similar workflows
  • Demonstrated experience working with educational data systems or databases
  • Experience handling confidential or high‑stakes academic records with accuracy and discretion
Knowledge, Skills, Abilities and/or Competencies
  • Experience in medical education or health professions education
  • Direct experience administering One
    45 evaluations or similar assessment platforms
  • Experience managing grade workflows and compiling data from multiple assessment sources
  • Advanced proficiency in Excel or similar data management tools
  • Knowledge of educational evaluation and assessment principles
  • Strong understanding of grade integrity, academic policies, and data governance
  • Advanced data organization and quality‑control skills
  • Ability to synthesize data from multiple sources into clear, actionable formats
  • High attention to detail and ability to identify discrepancies or data issues proactively
  • Strong communication skills when working with faculty, administrators, and students
Duties / Responsibilities

Evaluation and Assessment Administration (One
45)

  • Administer, schedule, distribute, and monitor all course, faculty, and student evaluations within One
    45 and other relevant evaluation platforms for all four years of the MD curriculum
  • Maintain and update evaluation and assessment forms, rubrics, and instruments in collaboration with curricular leadership
  • Track completion rates and follow up with stakeholders to ensure timely data collection
  • Ensure data accuracy, integrity, and appropriate use of evaluation results
  • Facilitate logistics, process, and scheduling for course and clerkship evaluation focus groups

Percentage of time: 40%

Grade Data Management and Workflow Coordination

  • Manage the collecting and flow of grade data from multiple sources, including examinations, rubric‑based assessments, and other evaluation tools for all four years of the MD curriculum
  • Maintain centralized, working grade books for leadership review and approval
  • Reconcile data discrepancies and ensure consistency across systems
  • Post finalized grades into official grade books and platforms and ensure compliance with institutional timelines and policies
  • Intervene and troubleshoot with grade data flow problems

Percentage of time: 30%

Data Quality Assurance, Reporting, and Governance
