Project Assistant, ERP

Position SummaryThe Project Assistant provides administrative and organizational support to Project Managers to ensure smooth coordination and execution of the ERP project across the organization. This includes gathering and processing project information, assisting with documentation, preparing communications, tracking progress, organizing materials, and supporting project activities from initial planning through completion. The role coordinates project activities to keep the project on schedule and provides logistical support such as meeting arrangement, progress tracking, and documentation.
Minimum QualificationsHigh school diploma or equivalent and 2 years of related experience.
Preferred QualificationsBachelor’s degree in HR, Organizational Development, Business, or a related field.
Knowledge, Skills, Abilities and/or Competencies- Project coordination — Understanding of basic project workflows and administrative processes.
- Information management — Ability to organize, track, and maintain project documentation.
- Communication skills — Strong written, verbal, and digital communication abilities.
- Software proficiency — Ability to use office and project‑related software for documents, spreadsheets, and presentations.
- Organizational skills — Ability to manage multiple tasks, meet deadlines, and maintain accurate records.
- Collaboration — Ability to work effectively with staff, leadership, vendors, and external partners.
- Attention to detail — Skill in preparing accurate documents, notes, and summaries.
- Support project managers with tasks needed to manage ongoing projects and requests.
- Assist with planning, scheduling, budgeting support, and project tracking.
- Help maintain project documentation from initiation through closeout.
- Document meetings by taking notes and preparing minutes.
- Assist in reviewing proposals and service information.
- Maintain organized records for projects at various stages.
- Schedule meetings and organize calendar invites.
- Communicate with internal departments and external partners as needed.
Percentage of time: 50%
Project Communication & Documentation- Prepare project communication materials for leadership, staff, vendors, and external partners.
- Create and assemble digital and print materials such as summaries, presentations, and status updates.
- Assist with spreadsheets, lists, and basic cost or budget summaries.
- Assist with written, verbal, and visual communication to support project workflows.
Percentage of time: 30%
General Support- Attend project‑related meetings to observe progress and assist project managers.
- Record observations and track follow‑up items.
- Perform other duties as assigned.
Percentage of time: 20%
Physical DemandsWork is primarily performed in an office setting, involving extended periods of sitting and computer use.
