Description & Responsibilities Position Summary
The Client Experience Specialist creates an exceptional one‑of‑a‑kind experience for clients, prospective clients, guests, and team members. This role is often one of the first points of contact for the firm and helps ensure that every interaction feels warm, professional, thoughtful, and consistent with the firm’s values.
This position is ideal for a service‑oriented, detail‑oriented, and welcoming professional who enjoys helping others, creating a polished, over‑the‑top service environment, and making people feel cared for.
The Client Experience Specialist will support the office’s client‑facing environment and assist with general administrative needs that contribute to the smooth operation of the firm.
This is primarily a client experience role. While all team members may assist with general firm needs from time to time, the primary focus of this position is to support reception, hospitality, meeting preparation, client touchpoints, and the broader client experience.
Key ResponsibilitiesClient Experience
Create a welcoming, polished, and thoughtfully unique experience for clients, prospective clients, guests, and team members that is calming, warm, and relaxing.
Client Meetings, Office & Hospitality Coordination
Support the preparation and maintenance of client‑facing spaces and meeting areas. This may include preparing meeting rooms, coordinating refreshments, resetting spaces after meetings, maintaining supplies, and helping ensure that the office environment is welcoming.
Assist with client appreciation and relationship‑building efforts that enhance the overall client experience. This may include supporting client gifting, cards, firm‑sponsored events, special occasions, and other thoughtful touchpoints that help clients feel known, valued, and supported.
Client & Team Communication
Support communication between clients and team members. This may include document printing, scanning, and mailing; coordinating communication and meetings between clients, prospective clients, and team members; and other administrative tasks as needed to support the clients’ overall experience in their advisory team relationship.

- Experience in planning events, gatherings, socials, or special occasions.
- Strong communication and interpersonal skills.
- Excellent attention to detail and follow‑through.
- Strong organizational skills and ability to manage recurring responsibilities.
- Service‑oriented mindset and genuine desire to help others.
- Ability to maintain a polished, calm, and professional presence with clients and team members.
- Ability to handle confidential client and firm information with discretion.
- Self‑motivated and willing to take initiative without waiting for direction.
- Comfortable answering phones, greeting guests, and supporting in‑person client interactions.
- Prior experience in hospitality, reception, individual counseling, personal coaching, client service, or financial services is preferred but not required.
- Interest in contributing to a high‑quality client experience and positive team environment.
- Experience with Microsoft Office, Google Workspace, CRM systems, scheduling tools, or office systems preferred.
