Office Administrator/ Coordinator
LHH is seeking a professional and highly organized Customer Service Coordinator for a commercial property management team in Atlanta, GA. This position will serve as the first point of contact for customers, contractors, vendors, and visitors while providing administrative support to the Property Management Office.
Key Responsibilities- Serve as the primary point of contact for customers, contractors, vendors, and visitors
- Provide a professional, welcoming, and high-quality customer service experience during every interaction
- Answer and route incoming calls, take accurate messages, and respond directly to customer requests whenever possible
- Receive incoming service requests and dispatch them to the appropriate team members
- Update and maintain the Yardi work order system, building website, preventive maintenance systems, and customer records
- Develop and maintain positive relationships with customers by providing responsive and consistent support
- Assist with the planning and coordination of customer events, move-ins, move-outs, anniversaries, monthly calendars, and other property communications
- Prepare welcome letters, new customer packages, reminders, notifications, and special mailings
- Maintain customer, vendor, insurance, and administrative files
- Track required certificates of insurance for customers and vendors
- Provide administrative support to the Property Manager, property management staff, and engineering team
- Manage calendars, schedule appointments, process expense reports and commission payments, and assist with vendor coordination
- Order office supplies and maintain property, mail, package, and filing records
- Ensure telephone and internet systems are operating properly
- Support the implementation of property management procedures and standards
- Become familiar with building emergency procedures and provide customers with appropriate direction during emergency situations
- Assist with additional administrative projects and property-related responsibilities as needed
- Minimum of two years of customer service experience in any industry required
- Commercial real estate or property management experience preferred but not required
- Proficiency in Microsoft Office, including Excel, Word, PowerPoint, Outlook, and Access
- Excellent written and verbal business communication skills
- Location: Buckhead, Atlanta, GA
- Work Environment: Fully Onsite
- Employment Type: Contract- 3 months
- Schedule: M-F, 9-5PM
