Position: Work Control Assistant

Work Control Assistant - University Housing, Athens, GA. Full-Time employee. Salary: $45,000. M-F, 8 a.m.

- 5 p.m., with occasional evening and weekend work.

Position Summary

The Work Control Assistant serves in the Work Control office by inputting work orders submitted by staff and residents, scheduling inspections and repairs for the low-speed vehicle fleet, monitoring fuel purchasing, and acting as backup for the Work Control Manager. The assistant also assists in overseeing student and temporary workers.

Minimum Qualifications

High school diploma or equivalent.

Preferred Qualifications
  • Technical knowledge in the field acquired through an apprenticeship, a 2-year degree, or professional certificate.
Knowledge, Skills, Abilities and/or Competencies
  • Creates work orders with the expected degree of independence and with limited mistakes.
  • Effectively communicates and collaborates with a wide variety of individuals including building service workers, residence hall staff, students/families and other team members via telephone, in writing, or in person.
  • Proven ability to work as a team member but also make effective independent decisions and follow through on assignments.
  • Can effectively utilize a variety of computer applications in the completion of assigned tasks, including but not limited to One Source, the Microsoft Office Suite, UGA email and employee websites.
  • Adaptable to a fluctuating work environment.

  • Designated as Essential Personnel Pool and may be asked to report to work during inclement weather or other emergencies.
  • Participate in department “all hands‑on‑deck” events such as move‑in, move‑out, residence hall emergencies.
Physical Demands
  • Standard for a normal office environment.
  • May be outside periodically to inspect vehicles.
  • Safely operate a UGA state vehicle, as necessary.
Duties and Responsibilities Work Control
  • Assists the Work Control Manager with utilizing facilities software systems (Ready and AiM) and inputs work requests into the AiM system on a daily basis.
  • Reviews after‑hours on‑call reports from residence life, security, and maintenance on‑call staff daily and follows up on maintenance or cleaning concerns.
  • Works closely with residential building service managers, maintenance supervisors, skilled trades and utility workers regarding work requests.
  • Interacts in a professional and consistent manner with a variety of customers and colleagues via customer virtual service desk, telephone and/or in person to coordinate work.
  • Contacts with UGA Facilities Management Division Work Control when assistance is needed to complete work requests.
  • Attaches police reports to the appropriate work orders involving damage due to vandalism.
  • Serves as the Work Control Manager in their absence.
Fleet Management
  • Assists with managing a fleet of vehicles for University Housing.
  • Schedules repairs for low‑speed vehicles through a vendor.
  • Schedules bi‑annual inspections of low‑speed vehicles and visually inspects each of those vehicles during the inspections.
Other
  • Assists in giving student and temporary workers assignments or projects.
  • Completes all training requirements and participates in team activities.
  • Assists in creating the year‑long schedule for maintenance on‑call.
  • Other duties consistent with the purpose and scope of this position, which may be assigned.
