Job Title

Administrative Coordinator, School of Pharmacy

Position Overview

The Administrative Coordinator will provide comprehensive administrative support to the School of Pharmacy Dean and Program Director(s), ensuring the smooth operation of academic and administrative functions within the School.

Education and Experience
  • High School diploma with 1–2 years of directly related experience.
  • Associate degree and prior office administration experience within higher education preferred.
  • Equivalent combination of education, training, and experience accepted.
Essential Functions and Responsibilities
  • Provide clerical support to the Dean and Program Director(s).
  • Arrange travel, schedule meetings, and manage calendars for the Dean and Program Director(s).
  • Organize meeting materials and record/transcribe meeting minutes as required.
  • Prepare documents such as memos, letters, and reports.
  • Assist in developing and coordinating the School’s Academic Calendar and course schedules.
  • Coordinate adjunct hiring and onboarding processes.
  • Support curricular changes and annual program assessment activities.
  • Maintain appointment calendars, facility usage, events, and travel arrangements.
  • Process reimbursements and invoices.
  • Coordinate event logistics (RSVPs, seminars, presentations, meal orders, set‑up).
  • Facilitate sign‑ups and coordination of co‑curricular activities.
  • Prepare agendas and minutes for faculty meetings.
  • Assist visitors with inquiries and resolve issues; review incoming and outgoing correspondence; follow up on operational commitments.
  • Support administrative problem‑solving, program/project planning, and execution of goals and objectives.
  • Collaborate with other administrative staff on office duties and special projects.
  • Complete additional tasks as assigned by the Dean and Program Director(s).
Required Knowledge,

Skills and Abilities
  • Intermediate to advanced proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
  • Proficient written and oral communication skills.
  • Strong organizational and time‑management skills, able to handle multiple tasks concurrently.
  • Excellent interpersonal skills, good judgment, and a positive, helpful attitude toward diverse constituencies.
  • Ability to read, interpret, and write documents with correct grammar, punctuation, and formatting.
  • Professional customer‑service skills and a respectful, professional demeanor with management, staff, students, board members, and visitors.
  • Problem‑solving abilities and capacity to interpret instructions in various formats.
  • Confidentiality in handling records and information.
  • Strong work ethic and teamwork orientation in a high‑volume environment.
  • Positive, welcoming personality with customer‑service experience.
  • Comfortable working with people from diverse backgrounds.
  • Availability for occasional evening and weekend work when required.
Hours, Classification, and Status

Staff, full‑time, benefits‑eligible, non‑exempt position. Regular hours Monday‑Friday, 8:00 a.m. – 5:00 p.m., with variations as needed by the Institute or department. Hourly rate $25.00 – $28.00, based on experience and qualifications.

Physical and Mental Requirements
  • Maintain good concentration while handling interruptions.
  • Sit for extended periods; stand for extended periods and occasionally during events.
  • Reach, extend arms, and use finger dexterity for keyboard use.
  • Perform communication tasks with spoken word.
  • Meet visual and hearing standards.
  • Lift and carry up to 20 lbs. locally; travel as required.
