PROGRAM COORDINATOR – AUC‑GRANTED (Grant‑funded)
Position Summary
:
The Program Coordinator for the NSF‑funded Atlanta University Center (AUC)‑GRANTED project reports directly to the Director of AUC‑GRANTED Operations. The incumbent helps manage and coordinate the day‑to‑day administrative and budget activities of the project, handling multiple tasks simultaneously and dealing with materials that may be sensitive and confidential.
- Respond to emails and phone messages regarding the AUC‑GRANTED Project.
- Coordinate meetings hosted by AUC‑GRANTED leadership, including the Steering Committee.
- Interface with key units of the College (e.g., Office of the President, Office of the Provost, Office of Research, Innovation & Collaboration, Office of Strategic Communications & Marketing) as needed to manage activities.
- Maintain the calendar of key AUC‑GRANTED events, websites, and social media accounts; keep a database of announcements and invitations from AUC institutions or external organizations.
- Manage budget and procurement functions: place orders, monitor shipments, and communicate status to end‑users; work with Accounts Payable to ensure prompt approval and payment of invoices; monitor, reconcile, and adjust the AUC‑GRANTED budget; maintain office supplies inventory; arrange travel for faculty/staff; process travel expense reports and disburse other funds; coordinate with Procurement Services on purchasing queries; manage software for documenting expenditures.
Management Support
- Develop methods for tracking, maintaining, and archiving confidential files, reports, presentations, agendas, and action items.
- Create and maintain spreadsheets, shared drives, central data repository, and web‑based accounts for file sharing.
- Conduct research to identify best practices and resources beneficial to the college and AUC.
- Assist with collecting and storing documentation related to shared service agreements, policies, and SOPs.
- Gather information and draft responses (for review and approval) to data requests/reports from internal constituents, state and federal agencies, and external organizations.
Participate in professional development seminars, workshops, and conferences; stay abreast of current trends related to research administration; consider becoming a certified research administrator (CRA).
Required Qualifications- Education & Experience:
Bachelor’s degree and at least four years of administrative and/or project management experience, or an equivalent combination of education, experience, and training. - Experience in a college/university setting is strongly preferred.
- Self‑motivated, resourceful, and proactive with a strong work ethic.
- Excellent oral and written communication skills.
- Strong organizational, budget, and time‑management skills.
- Ability to exercise independent judgment and manage a diversified workload with attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) at an intermediate level; ability to learn and use financial and document‑management systems (e.g., Banner, Softdocs).
- Strong interpersonal skills and a customer‑service focus with the ability to interact professionally with internal and external stakeholders.
- Ability to work effectively under pressure, demonstrate initiative, and promote teamwork.
- Experience in research administration or familiarity with grant‑funded projects.
- Knowledge of budget reconciliation, procurement processes, and travel coordination in an academic environment.
- Advanced skills in data management, including spreadsheets, shared drives, and web‑based file sharing tools.
- Ability to draft and revise grant proposals, reports, and publications.
- Interest in pursuing Certified Research Administrator (CRA) credential or similar professional development.
- Familiarity with social media management and website content updates for project communications.
