About the vacancy

The Administrative Assistant supports daily office operations, serves as the first point of contact for visitors and vendors, and provides administrative support across multiple departments. The ideal candidate is organized, detail-oriented, and able to manage competing priorities in a fast-paced environment.

Key Responsibilities
  • Greet and assist visitors, guests, and vendors.
  • Manage incoming calls, emails, and communications.
  • Perform general clerical duties: filing, data entry, scheduling, correspondence.
  • Support invoice processing and basic administrative accounting tasks.
  • Assist with meeting planning and company event coordination.
  • Prepare documents, spreadsheets, presentations, and internal materials.
  • Maintain office supply inventory and manage vendor relationships.
  • Support HR and other departments with administrative tasks.
Qualifications
  • 2+ years of administrative or clerical experience.
  • Strong communication and customer service skills.
  • Excellent organizational and time-management abilities.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Ability to maintain confidentiality and handle sensitive information.
  • Experience with invoicing or HR support is a plus.
Physical Requirements
  • Ability to sit and work at a computer for extended periods.
  • Ability to lift up to 15 pounds occasionally.
