Contract: 1 Year (Hybrid – Minimum 4 Days Onsite per Week)

Position Overview

We are seeking an experienced Administrative Assistant (Level
3)
to provide expert-level administrative support and leadership to the Training Support Services team. This organization supports all six categories of training across Southern Company’s system and requires an individual with strong initiative, attention to detail, and the ability to thrive in a fast-paced, collaborative environment.

The ideal candidate brings over 11 years of experience providing administrative and operational support, exceptional organizational and communication skills, and the ability to manage multiple priorities while maintaining professionalism and confidentiality.

Job Summary

The Administrative Assistant 3 will support the Training Support Services team by coordinating complex administrative and operational tasks, ensuring seamless daily operations. This role requires independent decision-making, excellent judgment, and a customer service-oriented mindset.

In-office presence is required a minimum of four (4) days per week or as otherwise directed.

Key Responsibilities
  • Provide expert-level administrative support to the team, leveraging extensive experience to ensure operational efficiency.

  • Prepare and reconcile monthly procurement card expense statements and other financial documentation.

  • Manage calendars, schedules, and meeting coordination for multiple team members, including logistics and catering.

  • Process invoices, check requests, and expense reports with accuracy and timeliness.

  • Schedule, set up, and coordinate video conferences and virtual meetings.

  • Arrange domestic and occasional international travel and prepare associated documentation.

  • Maintain and update SharePoint, TEAMS, and S:
    Drive
    sites; manage file organization and access permissions.

  • Order and track office and breakroom supplies to ensure adequate inventory.

  • Prepare, edit, and review complex documents, reports, presentations, and correspondence with precision.

  • Conduct research, compile data, and prepare reports to support strategic planning and decision-making.

  • Handle highly confidential information with discretion and professionalism.

  • Serve as a primary point of contact for internal and external stakeholders.

  • Provide backup support to other administrative and executive assistants as needed.

Job Requirements
  • High School Diploma or GED required.

  • Secretarial or administrative experience in a busy, fast-paced environment highly preferred.

  • Experience supporting a large department or cross-functional team strongly desired.

  • Demonstrated experience in expense reporting, travel coordination, and meeting management.

  • Proven ability to take initiative and work independently.

  • Administrative or clerical certification such as Certified Professional Secretary (CPS) or Certified Administrative Professional (CAP) preferred but not required.

Knowledge, Skills & Abilities
  • Ability to professionally represent the department, including interactions with executives, peers, vendors, and partners.

  • Strong organizational and multitasking skills; able to prioritize and meet deadlines with minimal supervision.

  • Skilled in calendar, travel, and communication management.

  • Effective team player, capable of building and maintaining strong relationships across the company.

  • Proven ability to produce accurate results under time constraints with attention to detail.

  • Exceptional customer service, interpersonal, and communication skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Access, Outlook).

  • Ability to learn and use Southern Company systems such as SCOTT, Enterprise Foundations, and Oracle.

  • Sound judgment and decision-making skills to determine when to act independently or escalate issues.
