Job SummaryThe Gifts & Records Department processes over 24,000 gifts and related transactions each year. As the primary data entry point for tax‑deductible contributions to the Georgia State University Foundation, the Gift Processing Specialist I plays a critical role in ensuring the accuracy and integrity of donor records.
Job Duties Gift and Payment Processing- Processes a variety of routine contributions, including checks, matching gifts, grants, simple wire transfers, online donations, annual pledges, payroll deductions, and recurring gifts.
- Handles gift and pledge payments for the Alumni Association, ensuring proper coding and acknowledgment.
- Generates daily gift receipts and ensures timely delivery to donors.
- When required, processes more complex transactions like in‑kind gifts, stock gifts, complex wires, planned gifts.
- Supports Athletic Association gift processing, including pledges, payments, and recurring contributions, as needed.
- Manually charges credit card gifts when required, adhering to secure payment protocols.
- Creates new constituent and organization records in the database with precision and attention to detail.
- Updates biographical and contact information for constituents as well as new information for organizations to maintain accurate and current records.
- Assists with database clean‑up projects related to constituent and gift records.
- Processes online biographical updates.
- Collects, sorts, and distributes incoming mail on a routine basis.
- Prepares checks received via mail for timely and accurate processing.
- Scans and archives all gift‑related documentation to ensure secure and organized recordkeeping.
- Maintains manual filing systems for pledge documentation and backup materials.
- Maintains a professional and welcoming reception area, serving as the first point of contact for visitors and callers.

- Individuals will also be required to work some nights and weekends, when necessary, travel (via plane, train, or car) at least 15% of the time within and outside of the state of Georgia.
- High school diploma or GED and two years of administrative experience; or a combination of education and related experience.
- Experience with databases and data entry.
- Proficiency in spreadsheet and word processing software.
- Strong attention to detail.
- Dependable, punctual, and collaborative team members.
