OverviewThe Talent Acquisition team exists to guide the most important business decision we make...the selection of our people. The Talent Acquisition Team Administrative Coordinator is responsible for providing high-quality administrative and coordination support to five members of the Talent Acquisition Leadership Team. This role supports calendar management, meeting and event coordination, communications, research support, and follow-up on priorities and action items. The Administrative Coordinator also partners with team members to maintain consistency across deliverables, prepare presentations and reports, and support weekly team rhythms.
Success in thisrole requires strong organization, sound judgment, discretion, and the ability to manage multiple priorities with accuracy, professionalism, and responsiveness in a fast-paced environment.
- Provide day-to-day administrative support for Talent Acquisition senior leaders, including calendar coordination, meeting scheduling, and logistics for team meetings, offsites, and events.
- Prepare and distribute agendas, materials, and follow-up communications, and track action items to support timely completion.
- Support team rhythms, including weekly meetings, through preparation, facilitation support, note capture, and follow-up.
- Maintain organized digital files, shared resources, and documentation to ensure accessibility, accuracy, and consistency.
- Manage administrative processes from intake through completion, ensuring accuracy, timely execution, and proactive follow-up.
- Resolve routine administrative issues independently and elevate items needing attention with clear context and recommended next steps.
- Arrange all aspects of TA leadership travel.
- Serve as a point of coordination for internal stakeholders, ensuring clear communication, seamless handoffs, and timely follow-up.
- Draft, format, and distribute internal communications, presentations, and materials aligned with excellence standards.
- Support leader preparation for meetings, presentations, and engagements through research, material preparation and logistics support.
- Maintain consistency across administrative processes, tools, and templates for the Talent Acquisition team.
- Identify and implement opportunities to improve ways of working and increase team efficiency.
- Build strong working relationships across teams to support collaboration, trust, and effective partnerships.
- Support the upkeep of Talent Acquisition documents on shared platforms such as TA Resource hub.
- Serve as the Talent Acquisition departmental on-boarding culture champion.
