We’re looking for an Operations and Association Coordinator to join our team! This unique role combines association coordination with operational and administrative support for NCG’s internal team, perfect for a tech-savvy, detail-oriented professional who enjoys variety and collaboration.

About the Role

The Operations and Association Coordinator supports several NCG-managed associations (approximately two-thirds of the time) and provides internal project and administrative support for the company (approximately one-third of the time). This role assists with membership, events, communications, and client service for associations while also contributing to NCG’s internal systems, operations, and technology projects.

What You Will Do

Association Support (2/3 of Time)

  • Support membership, events, and committee operations for assigned associations.
  • Coordinate meetings, conferences, and webinars including logistics, registration, and communications.
  • Draft newsletters, social media posts, and website updates.
  • Prepare materials for boards and committees and track follow-up items.
  • Assist with sponsorship tracking, invoicing, and reporting.
  • Respond to member inquiries with professionalism and accuracy.

NCG Operations Support (1/3 of Time)

  • Provide administrative and scheduling support to the Director of Operations and Leadership Team.
  • Maintain internal calendars, files, and SharePoint resources.
  • Assist with staff onboarding, training coordination, and internal communications.
  • Support invoice reconciliation, reporting, and expense tracking.
  • Serve as a liaison with NCG’s IT provider for access, tools, and technology support.
  • Contribute to process documentation and continuous improvement initiatives.

Qualifications

  • Strong written and verbal communication skills.
  • Excellent organization and time management abilities.
  • Comfort working across multiple systems and tools;
    Microsoft 365, SharePoint, Teams, Quick Books, and online forms.
  • Attention to detail and ability to balance multiple priorities.
  • Collaborative, professional, and service-oriented approach.
  • 3-5 years of experience in administrative, event, or association support roles (association experience a plus).
  • Associate’s degree required; bachelor's preferred.
  • Availability to travel for site visits and events (3-5 times per year).

Bonus Points For:

  • Experience in project coordination or process improvement.
  • Prior experience supporting leadership or operations teams.
  • Familiarity with AMS systems or digital event tools.
