The Financial Administrator is responsible for assisting with the financial operations of a department or unit, interpreting, advising, and disseminating financial policies and procedures; ensuring unit accounting practices and procedures follow Institute guidelines and recommending improvements. This role assists in preparation of unit budgets and reports, and implements accounting and office controls.
Responsibilities- Develop and prepare financial data related to proposals, grants, contracts, general appropriations, endowments, and other funds within an academic or research unit.
- Identify training needs and deliver training to departmental faculty and staff as required.
- Generate data for use in budget amendments and other budget‑related reporting.
- Manage the recording of financial transactions and generate financial reports on a scheduled and ad hoc basis.
- Collect, reconcile, and audit monthly unit expense transactions.
- Review or approve payroll, time documents, and personnel action forms.
- Coordinate unit financial actions with Institute financial units.
- Recommend and implement changes to unit financial or accounting procedures and processes as appropriate.
- Provide work‑related advice and direction to other unit financial or accounting personnel; may also supervise those personnel.
- Perform other duties as assigned.
- Bachelor's Degree in Accounting, Business, Finance or related field or equivalent combination of education and experience.
- Four to six years of job‑related experience.
- Advanced knowledge of and skill in applying accounting principles and practices within a university business environment (sponsored research budgeting, accounting, purchasing, closeout, subaward process).
- Workday and OneUSG proficiency, with advanced Microsoft Excel skills.
- Prepare and analyze financial reports for unit leadership and Project Investigators, with a strong emphasis on sponsored grant reporting.
- Provide comprehensive post‑award management for sponsored grants and other funding sources, including preparing and submitting budget amendments and subawards.
- Monitor and track expenditures against budgets to identify discrepancies and provide recommendations for corrective actions.
- Provide high‑level support for salary distributions and redistributions in compliance with policy.
- Exercise fiscal approval authority over Workday transactions at the school level.
Advanced knowledge of general accounting principles and practices within a business environment. Attention to detail, accuracy, and use of office and specialized accounting computer applications. Excellent written and verbal communication skills.
