The New Business Specialist is responsible for owning and executing the firm’s new business process from commitment through completion. This role ensures that every new client experiences a smooth, high-speed, and high-follow-through onboarding process that reflects Retirement Resources’ commitment to leadership, clarity, and care.

This position is ideal for a detail-oriented, process-driven professional who thrives behind the scenes, takes pride in precision, and understands that exceptional operations are a powerful form of client leadership. The New Business Specialist serves as a trusted liaison between advisors, clients, custodians, and carriers—making complexity feel simple and reinforcing that clients made the right decision choosing Retirement Resources.

Key Responsibilities New Business Processing & Execution
  • Process all new business paperwork accurately and efficiently, including account openings, transfers, rollovers, annuities, and insurance applications
  • Manage new business from start to finish, ensuring timely submission, follow-up, and resolution of outstanding items
  • Track all pending business and proactively follow up with custodians, carriers, and third parties to move items to completion
  • Maintain compliance with all firm, broker‑dealer, and regulatory requirements throughout the new business process
Client Communication & Experience
  • Serve as a point of contact for clients during the onboarding phase, providing clear updates and setting appropriate expectations
  • Communicate confidently and professionally with clients to reinforce trust and reduce uncertainty
  • Deliver consistent, proactive updates so clients never wonder where things stand
  • Support the firm’s promise that every new business experience is high‑touch, high‑speed, and high follow‑through
  • Partner closely with Advisors and Service Advisors to ensure seamless handoffs and alignment
  • Prepare and organize all necessary documentation for new accounts and policy delivery
  • Anticipate advisor needs related to upcoming appointments, account funding, and implementation steps
  • Assist with special projects related to improving or scaling the new business process
Documentation, Tracking & Reporting
  • Maintain accurate records of all client interactions, submissions, and follow‑ups in the CRM
  • Ensure client files are complete, organized, and audit‑ready (digital and/or physical as required)
  • Track key new business metrics and provide regular status updates to the team
  • Contribute to the ongoing refinement of workflows, checklists, and best practices
Required Qualifications
  • Prior experience in new business processing, client service, or operations within financial services
  • Strong attention to detail with the ability to manage multiple cases simultaneously
  • High level of organization and follow‑through
  • Excellent written and verbal communication skills
  • Comfort working with CRM systems, custodial platforms, and carrier portals
  • Ability to work independently while collaborating closely with a team
Preferred Qualifications
  • Experience with ACATs, rollovers, and account transfers
  • Familiarity with retirement‑focused products (AUM, annuities, insurance)
  • Experience working in a growth‑oriented advisory firm
  • Proficiency with Redtail or similar CRM systems
