Job Summary

The Media Production Group is currently accepting applications for the position of Administrative Support. This position will assist with the overall administrative functions of the department.

Temporary Employment Services (TES), a unit of the Auburn University Department of Human Resources, is an in-house support center established to meet the temporary employment needs of the university. TES provides qualified and dedicated temporary employees in a wide variety of occupations to meet the staffing needs throughout the campus.

Temporary employees are hired for a variety of reasons with the most common being:

  • Assistance in the place of a regular employee who is absent for a specified period of time
  • Additional assistance during periods of abnormal or peak workloads
  • Assistance with special projects
  • Seasonal work
  • Emergencies

Essential Functions
  • Advises the unit on all financial processes and procedures and resolves related problems.
  • Advises and collaborates with budget preparations for grant proposals.
  • Responsible for the submission of proposals through university channels and, once approved, through the State’s Electronic Grant Management System.

    NOTE:

    mastery of this system requires substantial education.
  • Act as the liaison between the State of Alabama, the MPG, the University Office of Sponsored Programs and Contracts and Grants Accounting.
  • Prepares all grant adjustment requests.
  • Collaborates with the Principal Investigators to create and submit quarterly and yearly reports.
  • Serves as the primary point of contact for the wide variety suppliers used in MPG operations –print, film, video, equipment rental, professional services, paid media advertising and distribution, etc.
  • Processes/submits documents for procurement and payments; reconciles university purchasing cards.
  • Tracks accounts payable and receivables for the unit.
  • Prepares distribution summaries for revenue received for intellectual property (faculty, staff and appropriate university departments).
  • Perform other duties as assigned.

Minimum Qualifications

High school diploma and 4 years of experience in administrative support services.

Experience:

When a candidate has the required education, but lacks the required experience, they may normally apply additional appropriate education toward the experience requirement, at a rate of one (1) year relevant education per year of required experience.
