JOB DESCRIPTION

QUALIFICATIONS:

  • High school diploma or equivalent.
  • Training or work experience with computers and related software.
  • Must meet background clearance requirements as specified by Alabama Statutes and State Board of Education regulations.
KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge of office practices and procedures, grammar, spelling, system policies and procedures, and business correspondence. Ability to exercise independent judgment. Ability to deal effectively and courteously with students, school personnel, and the general public. Must be computer literate and able to operate specific software programs. Competent in oral and written communication skills.

REPORTS TO:

Counselor

JOB GOAL

To assist in the development and maintenance of school records, reports, and data.

SUPERVISES:

N/A

PERFORMANCE RESPONSIBILITIES:
  • Record and report daily absentees.
  • Assist with entering and follow ups on pre-K registration forms.
  • Enter demographic information on all students and faculty.
  • Generate a grade roster for K-12 grades.
  • Furnish information and assistance to students, parents, teachers, and other interested parties.
  • Maintain attendance records and prepare related reports.
  • Record and maintain the required reports for the school, LEA, State, or Federal agencies.
  • Verify student check in and out information.
  • Input student data for schedules and test records.
  • Process student transfers and withdrawals and maintain records as assigned.
  • Ensure that the master schedule and the current valid schedule are maintained accurately for the yearly turn over.
  • Maintain confidentiality of specified information.
  • Communicate effectively with the public, staff members, students, parents, administrators and other contact persons using tact and good judgment.
  • Follow attendance, punctuality and proper dress rules.
  • Ensure adherence to good safety standards.
  • Maintain confidentiality regarding school/workplace matters.
  • Model and maintain high ethical standards.
  • Demonstrate initiative in the performance of assigned responsibilities.
  • Participate successfully in the training programs offered to increase skill and proficiency related to assignment.
  • Keep supervisor informed of potential problems or unusual events.
  • Respond to inquiries and concerns in a timely manner.
  • Exhibit interpersonal skills as an effective team member.
  • Demonstrate support for the school system and its goals and priorities.
  • Demonstrate initiative in identifying potential problems or opportunities for improvement.
  • Participate in cross-training activities as required.
  • Perform other tasks consistent with the goals and objectives of this position.
  • PHYSICAL REQUIREMENTS:

    Light Work:
    Exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force as needed to move objects.

    TERMS OF EMPLOYMENT:

    Salary and benefits shall be paid consistent with the System’s approved compensation plan.

    Length of the work year and hours of employment shall be those established by the System.

    EVALUATION:

    Performance of this job will be evaluated in accordance with provisions of the Board’s policy on evaluation of personnel.
