Tax Administrator

KBW is partnered with a well-established, family-owned professional services company based in Auburn, ME, in their search for a Tax Administrator to join its growing finance team.

This role supports the day‑to‑day tax operations tied to payroll processing and requires a detail‑oriented professional who is comfortable working in a fast‑paced, deadline‑driven environment.

• Process and transmit daily ACH files related to client payroll tax liabilities based on filing schedules
• Support the preparation of quarterly and year‑end tax activities in coordination with the Controller and finance team
• Manage daily tax payments and ensure accuracy and timeliness across all filings
• Assist with client onboarding and conversions, including tax account setup and agency registrations
• Monitor and process service terminations, including review of outstanding liabilities or refunds
• Perform Social Security number verifications and other required compliance checks
• Cross‑train across tax functions and serve as backup support within the department as needed
• Assist with additional administrative and tax‑related tasks as assigned

• Experience in payroll, tax administration, or general accounting support preferred
• Working knowledge of federal and state payroll tax processes strongly preferred
• Strong attention to detail with the ability to manage time‑sensitive, recurring deadlines
• Excellent communication and interpersonal skills, including comfort interacting with clients and agencies
• Ability to learn quickly and adapt in a structured but fast‑moving environment
