Position OverviewNuimage Outdoors is seeking a highly experienced Office Manager to lead and manage a fast-paced, high-volume office environment. This is a demanding, multi-functional role that requires a proven professional who can manage competing priorities, make sound judgment calls, and maintain accuracy under pressure.
This position operates on a standard 8:00 a.m. – 5:00 p.m. schedule
, with an expectation of flexibility and follow-through when business needs require it.
The successful candidate will bring a strong background in office management, along with hands‑on experience handling customer interactions, scheduling, quoting, and order processing. This role requires someone who can manage the flow of information, prioritize competing demands, and make day-to-day decisions that keep the office running smoothly.
Key Responsibilities- Serve as the primary point of contact for customers via phone and email
- Professionally greet clients and assess customer needs efficiently
- Manage and prioritize incoming calls with accuracy and attention to detail
- Coordinate and schedule appointments for sales, service, and installations
- Support outside sales representatives with quoting and proposal preparation
- Prepare, send, track, and follow up on proposals
- Enter approved proposals into the system for order processing
- Maintain accurate customer records, schedules, and order data
- Manage daily office operations with minimal oversight
- Identify gaps, anticipate needs, and keep multiple workflows on track simultaneously
- CRM software for customer tracking and communication
- CPQ order entry and processing
- Heavy daily use of Microsoft Office (Excel and Outlook)
- Microsoft Teams for internal communication and coordination
- 5+ years of experience in office management, operations coordination, or a senior administrative role
- Proven ability to manage multiple priorities in a fast-paced environment
- Experience managing scheduling, quoting, and order processing functions
- Strong decision-making skills with the ability to work independently
- Excellent customer service skills and professional phone presence
- Clear, concise written and verbal communication
- High level of accuracy, attention to detail, and follow-through
- Strong proficiency in Microsoft Office; advanced Excel skills preferred
- Comfort working across multiple software systems simultaneously
- Proven reliability, consistency, and accountability
