Office Administrator/ Coordinator
PRO Refrigeration has been building commercial chilling systems for the dairy, craft beverage, and food processing industries for over 35 years. We are a family-founded company, and this role sits at the center of our service operation: the connection point between our dealers, customers, field technicians, and the parts that keep customer product cold. The Service Team Coordinator manages parts logistics, fields incoming technical support calls, and coordinates field service scheduling to keep the service department running smoothly.
No two days look the same.
- Manage day-to-day shipping and receiving operations at PRO's Auburn, WA headquarters
- Process same-day expedited emergency parts shipments to customers nationwide, prioritizing accuracy and turnaround time
- Track inventory movement and maintain accurate shipping and receiving documentation
- Operate warehouse equipment, including forklifts, to load and stage shipments
- Serve as the first point of contact for incoming technical support calls from dealers and customers
- Triage service issues, gather relevant details, and route calls to the appropriate technician or service resource
- Maintain clear, professional communication with dealers and customers throughout the resolution process
- Schedule and dispatch field service technicians for repairs, installations, and maintenance visits
- Coordinate tools, equipment, and parts availability to support technician assignments
- Track service projects from initial dispatch through completion, following up to confirm the job was resolved
- Support the Service Manager with scheduling adjustments and resource allocation as priorities shift
- Maintain accurate, up-to-date records of service requests, parts shipments, and technician assignments
- Log service history and shipment data in company systems to support accurate tracking and reporting
- Assist in generating reports on service activity, parts usage, or shipment volume as needed
- 2+ years of experience at a parts counter, service desk, dispatch office, or in warehouse/logistics coordination
- Strong organizational skills with the ability to manage multiple priorities simultaneously
- Clear, professional verbal and written communication skills with customers and technicians
- Proficiency with basic computer systems and office software (email, scheduling tools, inventory systems)
- Ability to work full-time, on-site, at PRO's Auburn, WA facility
- Familiarity with HVAC, refrigeration, or mechanical equipment
- Forklift certification, or willingness to obtain certification after hire
- Experience coordinating field technicians or service teams
- Experience working with commercial or industrial equipment dealers
- Ability to lift and carry up to 50 lbs for shipping and receiving tasks
- Ability to sit, stand, and bend for an extended period
- $25 to $35 per hour, depending on experience
- Paid vacation upon hire and paid sick leave according to WA Paid Sick Leave law
