Skagit Regional Health is looking for a charismatic member for their HIM Operations Team that is integral to new systems processing, communication, and collaboration with the HIM Operations Team members. The candidate should possess strong organizational skills, diligence, and a deep understanding of medical records management and security protocols. They should be well versed in federal regulations, ensuring strict adherence to patient privacy, security, and confidentiality.
Must demonstrate excellent writing and back-end training on the new solution as needed, with a major focus on creating polices and SOP’s to bridge the Skagit Regional Health Clinic HIM operations with clinic administrative departments. Ensure HIM Clinic employees understand operations and systems functionality.
Deliverables include:- Re-writing the department's medical records existing Scanning policies and Systems Operating Procedures (SOP’s).
- Ensure the employees are well versed and trained on HIM Epic operations.
- Coordinate with other departments as needed when related to the implementation of the HIM Operations
- The Healthcare Medical Records Clinic Operations Project Manager is responsible for ensuring and operationalizing projects related to medical records
- This role ensures all records are maintained according to state, federal, and HIPAA regulations while leading staff through the HIM Department operational changes.
- Project Planning & Execution
:
Ensure the HIM Project Manager understands the project scope, goals, and deliverables in collaboration with senior management. - Create detailed work plans for the creation of policies, SOP’s and operational training schedules as needed to ensure the HIM Clinic Employees have a well-documented SOP’s.
- Project Manager will only be a member of the HIM Department Teams
- Operationalizing the Clinic daily job functions using project management tools and methodologies with supporting policies and SOP’s which is the main function of this project.
- EHR & System Management
:
Assist with the implementation, maintenance, and optimization of the project as requested. - Regulatory Compliance & Audit
:
Ensure patient records are compliant with legal and ethical guidelines. - Conduct policy and SOP audits to verify completeness and accuracy, performing corrective actions when necessary.
- Data Management & Analysis
:
Use statistical analysis to optimize workflow and track department policy and SOP performance - Stakeholder & Staff Coordination
:
Serve as a liaison between IT, clinical staff, and administrative leadership when requested. - Train staff on new policies and SOP’s related to medical records.
- Education
:
Bachelor’s degree in health information management, Health Administration, or a related field. Microsoft Office Suite, and excellent written/verbal communication. - Graduation from an accredited four-year college or university with a major in Health Information Management.
- Minimum of three (3) years of experience in a large public or private acute care, with a clinic setting with at least two (2) years of which must have been in supervisory capacity performing duties such as managing patient records, data entry management, quality control, data analysis, and collaboration.
- OR One (1) year of management level experience in a private acute care, clinic environment performing duties such as managing patient medical records.
- Experience
:
Proven experience in managing complex healthcare projects, within a medical records department. - Knowledge
:
Strong understanding of HIPAA regulations, medical terminology, and EHR software (e.g., Epic, Cerner). Member of the Project Management Institute (PMI) required, PMP Credentials required, Local Membership of a PMI Group preferred, HIMSS certification preferred. - Skills
:
Proficiency in project management software (e.g., Microsoft Project) preferred, Smartsheet’s for Policy and SOP creation, Clinic expertise preferred.
