Office Manager (Accounts Payable) Industrial / Manufacturing Environment Position Summary
We are seeking a highly organized and detail-oriented Office Manager with strong Accounts Payable experience to support daily operations in a fast‑paced industrial setting. This role is responsible for managing financial transactions, vendor relationships, administrative functions, and ensuring smooth office operations while maintaining accuracy and compliance.
The ideal candidate thrives in a structured, production‑driven environment and understands the rhythm of manufacturing operations, vendor billing cycles, and job cost tracking.
Key Responsibilities Accounts Payable & Financial Duties- Process high-volume vendor invoices accurately and timely
- Perform 3‑way matching (purchase order, receiving, invoice)
- Code invoices to correct general ledger accounts
- Prepare and process weekly check runs and ACH payments
- Reconcile vendor statements and resolve discrepancies
- Maintain accurate AP aging reports
- Assist with month‑end close and financial reporting
- Support audits and maintain documentation compliance
- Oversee daily office operations in an industrial setting
- Manage office supplies, service contracts, and vendor relationships
- Support payroll processing and timekeeping coordination
- Maintain employee files and onboarding documentation
- Assist leadership with reporting and operational support
- Coordinate with production, purchasing, and warehouse teams
- Ensure compliance with company policies and procedures
- 3+ years of Accounts Payable experience (industrial or manufacturing environment preferred)
- 2+ years of office management or administrative leadership experience
- Strong understanding of purchase orders, job costing, and inventory systems
- Proficiency in accounting software (Quick Books, Sage, Net Suite, or similar ERP systems)
- Strong Microsoft Excel skills
- High attention to detail and organizational skills
- Ability to multitask and prioritize in a deadline‑driven environment
- Professional communication skills
