This position is responsible for the collection and processing of payments from residents and/or responsible parties for payment of fees at the Georgia War Veterans Nursing Home. Duties include billing residents monthly, reconciling account balances, processing delinquent accounts, posting all transactions, balancing cash on hand, preparing disbursement requests, and replenishing cash. The role also prepares monthly financial reports and quarterly statements of resident accounts, maintains logs and receipts, and processes billing for pharmacy, labs, and ambulance.
The position requires effective communication with residents, families, and staff of the Department of Veteran Service.
- Manage the financial database used to process payments for daily fees.
- Accurately post payments received and ensure appropriate accounting.
- Respond to inquiries from residents and responsible parties regarding accounts.
- Balance account receivables daily and finalize monthly financial reports.
- Deposit cash more frequently if needed.
- Prepare monthly statements for mailing within three business days following the beginning of the month.
- Follow guidelines for delinquent accounts after 10 days and longer.
- Notify the Executive Director after two consecutive delinquent payment notices.
- Prepare aging receivables reports to follow up on unpaid invoices.
- Work closely with the Director of Accounting and Finance and other staff to maintain documentation.
- Assist the Veterans Service Office with reimbursements at the time of death or discharge.
- Maintain resident accounts, accept deposits, distribute cash, manage petty cash fund, and balance cash on hand.
- Prepare check requests for disbursements and replenish cash.
- Prepare monthly financial reports and quarterly statements for resident accounts.
- Reconcile monthly resident accounts statements with other reports.
- Maintain and process billing for pharmacy, labs, and ambulance.
- Verify charges promptly and resolve billing discrepancies.
- Generate statistical reports regarding billing and payments.
- Train Business Office staff on all duties performed in resident accounts and billing.
- Monitor performance during training.
- Assist the Director of Business Services with assigned projects.
- Serve as backup for other Business Office positions and perform related duties.
- Perform other duties as assigned.
- Degree in accounting or related field with a minimum of one year of accounting or bookkeeping experience.
- OR high school diploma, GED, or equivalent and four years of accounting or bookkeeping experience.
- Previous experience in an accounting, bookkeeping, or accounts receivable position.
- Strong personal initiative, organizational abilities, flexibility, and ability to work independently.
- Proficient in Microsoft Office and other computer software/databases.
- Basic understanding of budgeting and accounting strengths.
- Excellent interpersonal, written, and verbal communication skills.
- Detail-oriented with strong organizational, prioritization, analytical, and multi-tasking skills.
- Maintain confidentiality.
- Work independently or in a team environment.
- Research with high degree of accuracy.
- Reconcile and resolve payment issues, handle multiple priorities, and take initiative.
All selected candidates must successfully pass a Background Check review prior to starting with Augusta University. Additional checks may be required for positions at the Georgia War Veterans Nursing Home, including the Georgia Long-term Care Background Check, physical, drug screening, credit check, and vehicle reports for driving responsibilities. For Faculty Hires, proof of completed academic degrees and transcript verification may be required.
