We are seeking a highly organized and detail-oriented Project Administrator to support our fast-paced construction finishing team. This role requires strong time management, accuracy, and the ability to prioritize effectively in a high-volume, deadline-driven environment. Responsibilities include preparing estimates, entering and processing new orders, and coordinating schedules to keep projects moving efficiently. The ideal candidate is self-directed, able to manage multiple tasks simultaneously, and consistently attentive to detail.

This is a key administrative role within our operations, offering growth opportunities for candidates who perform well in a dynamic setting. Training will be provided.

Responsibilities
  • Review construction plans with the estimating team and complete material and labor take-offs to support accurate project pricing.
  • Coordinate closely within the estimation team to prepare accurate, timely project quotes and pricing packages.
  • Prepare detailed cost breakdowns and proposals for builder accounts.
  • Review, verify, and refine quotes to ensure pricing accuracy, completeness, and competitiveness.
  • Monitor builder portals and project schedules to ensure accurate production and material timelines, updating schedules as needed and maintaining clear notes on all changes.
  • Communicate with builders and job site superintendents to provide responsive, professional service and assist with issue resolution.
  • Maintain organized records, documents, and files related to builder accounts, construction plans, and project documentation.
  • Support procurement activities and assist with inventory coordination and tracking.
  • Provide ongoing administrative support to ensure smooth daily operations.
  • Manage incoming department calls, emails, and inquiries promptly and professionally, directing items to the appropriate team members when needed.
Qualifications
  • Strong organizational skills with the ability to manage multiple priorities, deadlines, and changing schedules in a fast-paced environment.
  • Exceptional attention to detail and accuracy in documentation, data entry, and record-keeping.
  • Proven experience in an administrative, estimating, scheduling, or purchasing role (preferred)
  • Ability to work effectively both independently and as part of a collaborative team, with a proactive, solutions-focused mindset.
  • Excellent written and verbal communication skills, with a professional and client-focused approach.
  • Proficiency with Microsoft Office (Outlook, Excel, Word) and general comfort with learning new software systems.
  • Strong problem-solving skills and the ability to adapt quickly as priorities shift throughout the day.
  • Knowledge of construction materials and basic project workflows (helpful but not required)
  • Commitment to providing a high level of service to builders, client accounts, and internal teams.
