Position Summary

This role provides comprehensive administrative support to the Assistant Dean of Instruction and Innovation and the faculty leader of the College of Nursing's Community Engagement Strategic Initiative.

Responsibilities
  • Calendar & Meeting Management
    • Maintain and coordinate the Assistant Dean’s calendar and the Nursing Faculty Leader’s calendar.
    • Schedule meetings, appointments, instructional planning sessions, and internal/external events.
    • Resolve scheduling conflicts proactively.
    • Prepare and distribute meeting agendas; take minutes and track follow‑up tasks.
    • Reserve meeting rooms and set up virtual links (Zoom, Teams).
  • Travel and Itinerary Coordination
    • Arrange travel accommodations—flights, lodging, transportation.
    • Prepare detailed itineraries and process reimbursements per institutional policies.
  • Supply & Vendor Management
    • Monitor office and event supplies inventory.
    • Order materials and coordinate with campus procurement and vendors.
  • Communication Support
    • Draft and send professional emails, memos, and announcements.
    • Serve as point of contact for internal departments and external partners.
    • Assist in preparing presentations and reports.
  • Event Support
    • Plan and execute community engagement events.
    • Coordinate RSVPs, materials, and on‑site logistics.
  • Documentation & Record Keeping
    • Maintain organized digital and physical files related to community initiatives.
    • Track engagement activities and outcomes for reporting.
  • Jag Pulse Champion
    • Promote Jag Pulse to staff and students and encourage its use.
    • Share communications and reports from the Office of Community Engagement.
    • Create and manage events and access reporting tools.
  • Medical Reserve Corps (MRC)
    • Support MRC administrative functions—maintain rosters, track compliance.
  • General Administrative Support
    • Assist with travel arrangements and reimbursements.
    • Support grant‑related tasks when applicable.
    • Perform other duties as assigned by the Nursing Faculty Leader.
Required Qualifications
  • Associate’s degree in a related field with ≥3 years of progressively responsible administrative experience, or high school/ GED with 6 years of progressively responsible experience.
Preferred Qualifications
  • Bachelor’s degree from an accredited institution.
Knowledge, Skills & Abilities
  • Strong organizational and time‑management skills.
  • Excellent communication and interpersonal skills.
  • Attention to detail and ability to manage multiple priorities.
  • Proficient with Microsoft Office.
  • Collaborative approach with faculty, staff, students, and external partners.
Shift / Salary / Benefits
  • Days, Monday–Friday.
  • Pay Band 2: $15.77–$18.89 per hour (salary commensurate with qualifications).
  • Recruitment Period: 2/9/26 Until Filled.
  • Benefits include health, dental, life insurance, Teachers Retirement System (or Optional Retirement Plan), vacation, sick leave, 13 paid holidays; tuition assistance for full‑time employees with 6+ months service.
Conditions of Employment
  • Successful background check before employment.
  • Credit check for Positions of Trust or Purchase Card use, if applicable.
  • Motor‑vehicle reports for positions requiring a university vehicle.
  • Faculty hires must provide proof of degree and transcripts; foreign‑trained candidates require credential evaluation.
