This position provides administrative and grant support to the Division of Rheumatology faculty, Business Manager, and fellows. The role serves as fellowship and grant coordinator, supporting publications, web‑page management, and overall departmental operations.
Responsibilities- Administrative: Calendar and correspondence management for the Division Chief and Rheumatology faculty; phone and visitor assistance; curriculum inventory and observership paperwork; travel coordination; clinic cancellation paperwork;
Qgenda management; OPPE and faculty evaluations using the PACT system. - Grant Coordinator: Pre‑award grant submission with Business Manager; monitoring grant funding and subcontracts; arranging grant meetings; coordinating subcontracts and data analyst support.
- Post‑Award: Monitoring grant funding, arranging club meetings for subcontracts, coordinating travel for ASBMR, NIH & TBN, and facilitating De‑FOC activities.
- Fellowship Coordinator: Managing interview schedules and eligibility screening via ERAS; coordinating interview invitations; creating match lists; managing onboarding, ACGME accreditation record keeping, and duty hour documentation; scheduling faculty speaker events.
- Publications: Assisting faculty and fellows with manuscripts; managing End Note applications for approximately 12‑15 publications annually.
- Webpage: Maintaining the Rheumatology departmental webpage.
- Other: Performing all other related duties as assigned.
- Associate's degree from an accredited college or university in a related field and four years of progressively responsible administrative support experience.
- OR High school diploma/GED and seven years of progressively responsible administrative support experience.
- Ability to maintain confidentiality.
- Excellent interpersonal, verbal, and written communication skills.
- Detail‑oriented with strong prioritization and organizational skills.
- Proficiency in Microsoft Office and other computer software/databases.
Shift: Days, Monday‑Friday
Pay Band: B5
Salary Range: $17.88 - $21.92 per hour (commensurate with qualifications within range)
Recruitment Period:
