Job Summary

The position provides administrative support to Otolaryngology faculty in a busy medical practice. Duties include phone coverage; scheduling patient visits and surgeries; assisting with dictation and clinical documentation; handling correspondence; routing grant applications; maintaining calendars; coordinating meetings and travel; preparing teaching materials; arranging visitor itineraries; managing filing; ordering supplies; and performing related duties as assigned.

Responsibilities
  • Admit and support Vice Chair of Clinical Affairs/Clinical Service Chief, Surgical Director of Augusta University Thyroid and Parathyroid Center, Director of Research, and Assistant Dean of GME/Associate DIO; also support total six faculty, two limited term instructors, and five APP positions.
  • Provide general administrative support: phone coverage, distribute electronic faxes and mail, inventory office supplies, maintain shared copier and printers.
  • Coordinate medical student clerkship activities: route applications to faculty, distribute welcome letters, literature, rotation evaluation, schedule off‑site rotations, support scholarships.
  • Maintain and edit departmental website, publish newsletter, manage social media accounts.
  • Assist business manager, office manager, residency coordinator and other staff with special projects and departmental events.
  • Perform all other job‑related duties as assigned.
Required Qualifications
  • Associate degree from an accredited college or university in a related field and a minimum of three years of progressively responsible experience in administrative support positions; OR a high school diploma or GED and six years of progressively responsible experience in administration support positions.
Preferred Qualifications
  • Administrative experience in a clinical or academic setting.
Knowledge, Skills & Abilities
  • Basic medical terminology preferred.
  • Demonstrated teamwork experience.
  • Proficiency in Microsoft Office and other computer software/databases.
  • Deep understanding of how to communicate and act on Augusta University values.

Shift / Salary / Benefits

Shift: Days;
Monday – Friday
Salary: $15.77 – $18.89 per hour (within the established range).
Pay Band: B2.
Position is fully or partially funded through external sources; continued employment contingent on availability of funds.
Recruitment period:
Until filled.
