Job Summary
Administrative support to the Associate Dean of Research. Performing duties of a complex and confidential nature including visitor reception, telephone coverage, correspondence, documentation preparation, complex travel, coordination with internal and external departments for meetings, assistance with appointments, expense reimbursement, accounting, filing, various project assistance, and other duties as assigned.
Responsibilities- Provide advanced administrative support to the Associate Dean of Research; manage calendar, emails, and meeting schedules; prepare documents.
- Maintain research records for grants; manage digital files in Box; support the Associate Dean on current and new grant awards.
- Prepare reports, including budgets, for the Research Office; serve as liaison to researchers regarding faculty and staff questions and issues.
- Order office supplies, monitor inventory, track project timelines and deliverables; reconcile and maintain financial records for research office accounts.
- Liaise with internal departments and external vendors to support operational needs of the research office; coordinate complex travel arrangements and reimbursements.
- Support research office projects as needed, including scheduling, data reporting, meeting minutes, annual equipment inspections, and compliance documentation.
- Perform all other duties as assigned.
- Associate’s degree from an accredited college or university in a related field and a minimum of four years of progressively responsible experience in administrative support positions.
- OR
- High school diploma, GED, or equivalent from a recognized accrediting organization and seven years of progressively responsible experience in administrative support positions.
- Bachelor’s degree from an accredited college or university.
- Experience with database software.
- Additional related experience.
- Proficient computer skills in Word, Excel, Outlook, Adobe Acrobat, PowerPoint, and People Soft.
- Proficient knowledge of bank account reconciliation.
- Professional dress and demeanor required.
- Working knowledge of the policies and procedures.
- Excellent interpersonal, written, and verbal communication skills.
- Maintain confidentiality.
- Interact with a wide range of people, including faculty, students, residents, deans, staff across university, as well as external callers and visitors.
- Multitask and handle a heavy workload.
- Proofread with high accuracy.
- Accurately compose, format, and edit correspondence and documents.
- Quickly learn new software.
- All selected candidates are required to successfully pass a Background Check review prior to starting with Augusta University.
- For applicable duties: credit checks may be required for Positions of Trust or approved departmental Purchase Card usage.
- Motor vehicle reports are required for positions that involve driving an Augusta University vehicle.
- For Faculty Hires: proof of completed academic degree(s) and post‑secondary coursework (transcripts) is required.
- Employees must ensure confidentiality, availability, and integrity of sensitive information by adhering to cybersecurity and privacy policies.
