Responsibilities- As an Administrative Assistant
, you will play a vital role in keeping our school running smoothly and efficiently. Serving as a key partner to the Program Director, you’ll help drive the day-to-day administrative operations that support our staff, students, and families. This is more than an office role — it’s an opportunity to contribute to a mission-driven educational environment where organization, responsiveness, and professionalism make a direct impact. - Serve as the first point of contact for the school by answering and directing phone calls, coordinating conference calls, greeting visitors, and ensuring a welcoming, professional front office experience.
- Manage incoming and outgoing mail, courier deliveries, email communications, and faxes, while accurately routing correspondence to appropriate team members.
- Order and maintain office and classroom supplies and equipment to support seamless daily operations.
- Prepare and distribute correspondence, reports, and other printed materials in a timely and organized manner.
- Organize and maintain student, personnel, operational, and office files to ensure accuracy, compliance, and accessibility.
- Support school-wide communications and projects, including coordinating employee mailings and distributing materials to students and families.
- Partner with school leadership to ensure administrative functions are completed accurately, efficiently, and within established timelines.
- Assist with preparing and maintaining required reports and records, including accounting, personnel, student data, and operational documentation.
- Participate in and support school events, activities, and special projects as requested.
- Provide flexible, team-oriented support by assisting with additional duties as needed to ensure overall operational success.
- Associate's degree or higher in a closely related field of study.
- Ability to obtain and maintain certification in company approved crisis management training.
- Minimum 1 year prior experience in an administrative role, preferably in an alternative, special education and/or behavioral health program setting.
- Experience working with children with learning disabilities, emotional behavioral disorders, autism spectrum disorders and/or other related disabilities.
- Strong reading, writing, analytical, and interpretation skills for detailed reports, business correspondence, learning materials, announcements, etc.
- Experience with program management and/or development and working with databases/spreadsheets.
- Ability to manage complex and/or sensitive information with confidentiality and objectivity.
- Strong prioritization, organization, and attention to detail with ability to meet deadlines.
- Ability to present information and respond to questions from staff, students, parents and the general public.
- Motivation, flexibility, and adaptability to changing priorities and new initiatives.
- Strong communication, problem solving, and decision-making skills; proficiency with technology including Microsoft Office and basic office equipment; experience with database entry.
